The Charlie Dunlop School of Biological Sciences is one of the largest schools at UCI, serving over 5000 undergraduate and graduate students. Our academic departments lead pioneering research in neurobiology, developmental and cell biology, molecular biology, biochemistry, and ecology and evolutionary biology. This position will support two of our academic departments, Neurobiology & Behavior and Systems Biology. Your Role on the Team The Department Coordinator serves as a vital operational and administrative resource for their assigned department(s) within the Charlie Dunlop School of Biological Sciences at the University of California, Irvine. This position is responsible for planning and executing department-level events, faculty recruitment support, departmental communications, and special projects that directly advance the department’s academic and research mission. Working in close partnership with the Department Administrator and Department Chair, the Department Coordinator serves as a key point of contact for faculty, staff, and students, ensuring seamless day-to-day operations and exceptional service delivery. This role operates within the School’s Shared Services structure, collaborating with centralized units to coordinate and execute department-specific needs efficiently and effectively. The candidate will be required on-site, Monday through Friday. This is not a hybrid position. What It Takes to be Successful Required: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). Previous experience providing administrative support. Thorough understanding of office procedures. Demonstrated ability to work independently in complex working environment, adjusting priorities as needed based on assignments and understanding mission and goals of multiple departments. Demonstrated ability to follow instructions and perform duties reliably and with thorough attention to detail. Demonstrated skill in forming and maintaining cooperative working relationships with others, i.e. effective interpersonal skills. Skill in organizing work for timely completion of assignments. Ability to independently develop innovative, logical solutions to difficult, unusual, or first-time problems and provide recommendations for action. Flexible schedule to accommodate alternate work schedule due to department events and/or seminars, as needed. Requires verbal and written communication skills, active listening, critical thinking, multi-tasking and time management skills.
