THE OPPORTUNITY
Silvus is seeking a full-time Office Manager to oversee front desk operations, reception and office personnel, and day-to-day office administration at Silvus' Los Angeles headquarters. This role is responsible for supporting office operations, reception services, administrative support functions, workplace readiness, and ensuring a professional, organized, and welcoming office environment.
The Office Manager is a part of the Human Resources team, reporting to the Facilities Manager. The position is full-time, on-site daily, Monday through Friday. The location for this role is Silvus Technologies’ HQ in the heart of vibrant West LA.
The following is a list of at least some of the current essential job functions of the position. Management may assign or reassign duties and responsibilities at any time at its discretion.
ROLE AND RESPONSIBILITIES
Maintain management of the front desk and main reception area for the company. This includes supervisory responsibility of the front desk and/or office assistance personnel.
Conduct routine walkthroughs of office spaces and common areas to identify maintenance, cleanliness, or workplace concerns.
Partner with the Facilities team on vendor access.
Oversee visitor registration and reception procedures. Ensure compliance with visitor protocol.
Responsible for ordering and/or coordinating food/beverages, office supplies, etc. for company personnel or their guests and supervising personnel responsible for stocking and maintaining multiple break rooms.
Coordinate workstation readiness with Facilities and IT.
Work with the Front Desk team for weekly staff lunch set up, break down, etc.
Work closely with the Human Resources team on matters related to onsite and offsite company events.
Manage conference room standards and scheduling processes.
Work in partnership with the Shipping team and in coordination with Front Desk team to manage the manner in which company packages are received.
Liaise with building management as needed to resolve minor office issues.
Perform other related duties of which the above are representative.
REQUIRED QUALIFICATIONS
Minimum High School Diploma or GED.
A minimum of 5 years of relevant experience, with at least 1-2 years of experience managing a team.
Strong leadership skills with the ability to motivate teams, foster accountability and drive results in a fast-paced environment.
Must be able to lift, up to 25 lbs.
Demonstrated experience using Google Suite and Microsoft Office.
Must be a U.S. Person (U.S. Citizen, or U.S. Permanent Resident) due to clients under U.S. federal contracts.
All employment is contingent upon the successful clearance of a background check and drug test.
PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES
Bachelor’s degree in a related field.
Previous experience with office management or administration.
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
Office environment.
While performing the duties of this job, the employee is required to do the following:
Extended periods of sitting at a desk.
Ability to regularly lift and carry up to 25 lbs.
Walking/Moving around multiple floors and offices.
COMPENSATION: $75,000 - $85,000 / annually
