What you’ll do:
The Operations Support Specialist – Vendor Management & Procurement is responsible for supporting day to day operational activities related to vendor coordination, procurement processes, contract administration, and cost control. This role ensures timely sourcing of goods and services, effective vendor relationships, and compliance with company procurement policies while supporting overall operational efficiency.

 

Core Responsibilities:

Vendor Management

  • Maintain and update the vendor database, including accreditation and performance records
  • Assist in vendor sourcing, evaluation, onboarding, and accreditation processes
  • Monitor vendor performance (quality, cost, delivery, service levels) and prepare evaluation reports
  • Build and maintain strong relationships with suppliers to ensure reliability and service quality
  • Address vendor issues, disputes, and performance concerns in coordination with stakeholders

Procurement Support

  • Process purchase requests (PRs) and generate purchase orders (POs) in a timely manner
  • Source quotations, conduct price comparisons, and support cost analysis
  • Ensure procurement activities align with company policies and budget requirements
  • Track orders and coordinate with vendors to ensure timely delivery of goods and services
  • Assist in contract preparation, review, and documentation

Inventory & Order Coordination

  • Monitor stock levels and coordinate replenishment with relevant teams
  • Track deliveries and ensure proper receipt and documentation of goods/services
  • Coordinate with warehouse or end-users for order fulfillment and distribution

Documentation & Compliance

  • Maintain accurate procurement records, contracts, and vendor documentation
  • Ensure compliance with internal procurement policies and regulatory requirements
  • Support audit activities by preparing necessary procurement and vendor documents

Cost Control & Reporting

  • Track procurement expenses and support budget monitoring
  • Prepare reports on vendor performance, procurement status, and cost savings initiatives
  • Identify opportunities for cost optimization and process improvements

 Coordination & Communication

  • Liaise with internal departments to understand procurement needs and timelines
  • Coordinate with finance for invoice processing and payment follow-ups
  • Provide regular updates on procurement status and vendor issues

 

Actively champion and implement the organization’s policies on health & safety, environment, energy, quality, information security, and business continuity, ensuring adherence to incident reporting, legal, and regulatory requirements.  

 

Qualifications & Requirements

  • Bachelor’s degree in Business Administration, Supply Chain Management, Procurement, or related field
  • 1-2 years of experience in procurement, vendor management, or operations support
  • Basic understanding of procurement processes and vendor lifecycle management
  • Good negotiation, coordination, and communication skills
  • High attention to detail and strong organizational skills
  • Proficiency in Microsoft Office (especially Excel)

Preferred Skills

  • Experience with ERP or procurement systems (e.g., SAP, Oracle, or similar)
  • Basic knowledge of contract management and supplier negotiations
  • Familiarity with inventory management practices
  • Analytical mindset with cost evaluation and reporting skills
