About the Role
As a HR Assistant, you will play a key role in supporting the daily operations of the Human Resources department, perform administrative tasks, and ensure efficient, confidential, and organized HR processes. Your responsibilities would include, but not be limited to the following:
- Maintaining accurate and up-to-date human resource files, records, and documentation
- Answering frequently asked questions from applicants and employees regarding policies, benefits, and hiring processes; escalating complex matters to senior HR staff
- Maintaining the integrity and confidentiality of HR files and records
- Performing periodic audits of HR files to ensure required documents are properly collected and filed
- Providing clerical and administrative support to the HR department
- Assisting with payroll functions including processing, responding to employee inquiries, correcting errors, and distributing checks
- Acting as a liaison between the organization and external benefits providers (health, disability, retirement plans, etc.)
- Assisting with new hire orientation and processing onboarding and termination paperwork
- Supporting planning and execution of special events such as benefits enrollment, company meetings, employee recognition events, holiday celebrations, and retirement gatherings
- Performing other duties as assigned
Who We’re Looking For
We’re looking for a professional Human Resource Assistant with knowledge of human resource functions, from hiring to onboarding and HR Information Systems, including payroll. The ideal candidate thrives in a collaborative office environment, demonstrates excellent communication skills, and is motivated to grow within the human resources field.
Requirements
- Prior related office experience (Preferred)
- Associate’s degree or equivalent experience in a related field
- Strong understanding of basic HR practices, employment processes, and workplace compliance
- Excellent verbal and written communication skills
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact and professionalism
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite or related software
- Ability to quickly learn or knowledge of payroll systems, Human Resource Information Systems (HRIS), and related software
Preferred Qualities
- Experience supporting payroll processing or working with HRIS systems
- Ability to handle multiple priorities in a fast-paced environment
- Leadership experience – 1 year (Preferred)
- High level of discretion and professionalism when handling confidential information
- Proactive problem-solver with a willingness to take initiative
- Positive attitude and team-oriented mindset
- Strong customer-service approach when assisting employees and applicants
- Adaptable and open to learning new systems and procedures
- Detail-focused with the ability to identify discrepancies or missing documentation
- Interest in long-term growth within the Human Resources field
