Job Description
The Project Coordinator supports the coordination and delivery of hardware projects by helping organize project activities, maintain timelines, communicate with stakeholders, and escalate risks or decisions to the appropriate project leader.

Responsibilities
Support the initiation, planning, execution, monitoring, and closing of hardware projects, upgrades, and enhancements at client sites.
Assist in developing project plans, schedules, and documentation, such as project charters and task lists, in collaboration with internal teams and client stakeholders.
Coordinate project scheduling, including gathering resource requirements and confirming availability with team leads.
Help maintain clear communication across stakeholders by preparing status updates, meeting notes, and action logs.
Take a proactive, urgency-driven approach to identifying timeline risks, delays, or project issues, and escalate them to the Project Manager with clear supporting details and recommended next steps.
Translate approved sales orders into initial project setup tasks, including internal system setup, kickoff meetings, installation scheduling, and logistics coordination.
Participate in project meetings with clients, internal staff, and third-party vendors; capture minutes, decisions, and follow-up actions.
Support project closeout activities, including collecting feedback, documenting lessons learned, and ensuring deliverables are archived.
Request and track reports from trainers, technical teams, and other project contributors.
Drive outstanding project tasks to completion through assertive follow-up, stakeholder commitment tracking, and urgency-driven management of project timelines.
Suggest practical process improvements based on project observations, training, and guidance from the project team.
Follow internal compliance standards and project governance processes with guidance from the Director, Project Management.
Coordinate project activities within approved scope, timelines, and budgets, escalating financial or scope-related decisions to the Project Manager or appropriate decision-maker.
Perform other duties as assigned by the manager or designate.
Qualifications
Bachelor's degree in Electrical Engineering, Computer Engineering/Science, or a related technical engineering field is required.
1–3 years of work experience in a technical, engineering, hardware deployment, installation, field implementation, or project coordination environment is preferred.
Experience in hands-on hardware engineering work, hardware testing, installation support, troubleshooting, or field implementation is preferred.
Strong organizational skills with the ability to manage multiple tasks and deadlines.
Demonstrated ability to follow up assertively, work proactively, maintain urgency, and escalate issues when timelines or deliverables are at risk.
Excellent written, verbal, and client-facing communication abilities.
Exposure to project coordination, scheduling, documentation, or hardware deployment processes is an asset; project management processes can be developed through training.
Proficiency with Microsoft Office applications, including Excel, Word, and PowerPoint, and working knowledge of Microsoft Project or similar project management tools.
Interest in learning project management methodologies, documentation standards, and governance processes is an asset.
PMP or CAPM certification is considered an asset.
