Program Coordinator, Senior
Job Description
Responsible To: Division Chief/Program Director, Director of Preclinical Year, Administrative Manager, and/or their Designees.
Summary: The incumbent will work independently and is responsible for planning, coordinating and implementing various activities across the PA Program to support PA students, Preclinical curriculum, program, and accreditation efforts.
Work Performed:
- Provide staff leadership coordination of course activities, and assignments to PCY staff. This includes working closely with the Director of Preclinical Education faculty course coordinators to:
- Prepare budgets and manage expenses for deployment of curriculum.
- Invite and communicate with invited lecturers and facilitators.
- Order and manage supplies as needed.
- Manage information for invited lecture/facilitator payments to ensure they are accurate and processed in a timely manner.
- Manage Canvas course sites to best support student’s accessibility to course related resources and assessments.
- Coordinate student configuration and scheduling as needed
- Manage transportation, technology, and setup needs for all course activities.
- Support management of data related to instruction, evaluation and accreditation.
- Partner with Directors of Preclinical Education and Clinical Medicine to coordinate the academic year calendar and all scheduling for students to ensure that all courses and events align across the program.
- Provide staff leadership. Recommend various personal actions including, but not limited to, hiring , performance appraisal, promotions, transfers and vacation schedules.
- Support student services and activities, including various program events
- Onboarding and orientation
- Special lunches/meals/refreshments
- A/V student liaison to IT Analyst
- Compliance activities (BLS, Flu vaccines, drug testing, etc.)
4. Support Administrative and Operational Needs as Assigned, including:
- Committee support.
- Preparation and maintenance of program documents, including the student handbook and faculty onboarding materials.
- Proctoring examinations as needed.
- Providing front entrance and phone coverage when necessary.
- Supporting additional program initiatives, events and special projects as assigned.
Supervision Received:
The principle supervisor of this position is the Administrative Manager. The Division Chief/Program Director also provides staff oversight. The Senior Program Coordinator also maintains a close working relationship with the Director of Preclinical Education, Director of Clinical Medicine and Preclinical staff, faculty Instructional Specialists and Academic Coordinator. Prior supervisory experience is a plus.
Qualifications:
This position requires organizational and communication skills that generally are acquired through completion of a bachelor’s degree program or equivalent combination of relevant education and/or experience. This position also requires three years of experience in program administration to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $48,960.00 to USD $77,928.00.
