
Sugarloaf Events Marketing Coordinator
Job Description
The Events Marketing Coordinator is a key member of the Sugarloaf Events team, responsible for the end-to-end coordination of resort events and on-mountain activations — from promotional planning and collateral development through on-site execution and post-event reporting. This role works in close partnership with the Marketing team to ensure all events are supported by compelling, brand-aligned communications across digital, print, and social channels.
The ideal candidate is highly organized, creative, and energized by the pace of a working ski resort. They thrive in a fast-moving environment, can manage multiple projects simultaneously, and bring a guest-first mindset to everything they do.
Responsibilities
Core Responsibilities:
Event Planning & Coordination
- Support the Events Manager in planning, logistics, and execution of all resort events, including signature events, community programming, partner activations, competitions, and seasonal celebrations
- Develop and maintain detailed event timelines, run-of-show documents, and logistics checklists
- Coordinate with internal departments — including F&B, Mountain Operations, Guest Services, Lodging, and Retail — to ensure event needs are identified and met
- Manage vendor relationships and on-site logistics including equipment, staging, signage, and staffing needs
- Recruit, schedule, train, and manage event volunteers; maintain volunteer database
- Serve as the on-site lead during events, managing day-of execution and troubleshooting in real time
Promotional & Marketing Coordination
- Work closely with the Marketing team to develop and execute event promotional plans across email, social media, paid channels, and on-mountain signage
- Brief and coordinate with the Graphic Designer on event collateral including flyers, digital assets, signage, and event programs; proofread and ensure brand consistency
- Collaborate with the Photographer/Videographer to plan and brief event content capture; support content calendar integration
- Coordinate with the CRM Manager on event-related email campaigns, segmentation, and post-event communications
- Draft copy for event promotional materials, social posts, website listings, and partner communications
- Maintain and update resort event listings across digital platforms and third-party event calendars
Guest & Partner Relations
- Serve as the primary point of contact for guest inquiries related to events and programming
- Support sponsor and partner activations, ensuring contractual deliverables are met on-site and in promotional materials
- Represent Sugarloaf Mountain Resort as a positive brand ambassador with community partners, sponsors, and guests
Ticketing, Registration & Reporting
- Collaborate with Events Manager, learning and assisting with ticketing, registration, and reporting platforms.
- Work with Events Manager to track event attendance, registration data, and key performance metrics.
- Work with Events Manager to conduct post-event analysis and prepare recap reports with attendance figures, guest feedback, and recommendations for future events
Qualifications
Required for this Role:
- Bachelor's or Associate's degree in Event Management, Marketing, Hospitality, Communications, or a related field — or equivalent work experience
- 1–3 years of experience in event coordination, event marketing, or a closely related role
- Strong organizational skills with the ability to manage multiple concurrent projects under deadline
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office/365; comfort with digital tools and event management software
- Ability to work flexible hours including evenings and weekends during peak event periods
- Ability to work outdoors and on-mountain in winter conditions
Preferred
- Experience working in a resort, hospitality, outdoor recreation, or tourism environment
- Familiarity with event platforms such as EventBrite, RunSignUp as well as our CRM systems SalesForce and Springer Miller.
- Experience with Canva, Adobe Creative Suite, or similar tools for basic collateral creation or review
- Passion for the mountain lifestyle and genuine enthusiasm for the Sugarloaf community
Working Conditions
Sugarloaf is a four-season resort that flexes to business levels. The coordinator role should anticipate reduced hours and potential layoffs during the shoulder seasons, including late May–July and late October–November. Layoff and/or reduction of hours will be notified in advance and depend on business levels and the needs of the team.
