GENERAL DESCRIPTION
INTERNAL POSTING
The Office of the Attorney General (OAG) is seeking an office professional experienced in a wide range of administrative duties to support the day-to-day operations of the Communications, Legal Recruitment, and Legal Strategy Divisions. This position will work closely with the manager of these divisions to identify and facilitate essential tasks in an often fast-paced environment.

ESSENTIAL POSITION FUNCTIONS
- Supports the Communications, Legal Recruitment, and Legal Strategy Divisions with administrative duties, to include:
- Submits procurement requests and manages purchase renewals
- Coordinates work-related travel and prepares travel vouchers and related documentation
- Manages division inventory and submits bi-monthly and annual reports
- Coordinates and maintains division’s official records in compliance with the agency’s Records Retention Schedule and records management requirements
- Orders and maintains division supplies
- Enters data pertaining to the agency law clerk program
- Assists with personnel actions such as scheduling interviews and orientation for new employees
- Routes and coordinates external outreach requests
- Drafts and routes executive approval memos
- Acts as the divisions’ safety officer and submits quarterly reports
- Submits work orders and building maintenance requests
- Attends office manager meetings and trainings.
- May perform other related duties as required to meet the ongoing needs of the divisions.
Maintains relevant knowledge necessary to perform essential job functions
- Attends work regularly in compliance with agreed-upon work schedule
- Ensures security and confidentiality of sensitive and/or protected information
- Complies with all agency policies and procedures, including those pertaining to ethics and integrity
MINIMUM QUALIFICATIONS
Executive Assistant II:
- Education: Graduation from high school or equivalent
Education: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the
required education on a year-for-year basis: office manager, executive assistant, administrative assistant, project manager, legal assistant
- Experience: Four years of full-time experience working in the following (or closely related) fields: legal assistant, office manager, executive assistant, project management and/or administrative support
- Knowledge of Microsoft Word and Teams, Outlook, Excel
- Attention to detail to ensure tasks are completed thoroughly and correctly
- Strong organizational skills with the ability to multitask and prioritize responsibilities effectively
- Superior written and verbal communication skills
- Skill in exercising sound judgment and effective decision making
- Skill and ability to handle stressful situations
- Skill and ability to be honest, reliable, trustworthy, respectful, and professional at all times
- Ability to receive and respond positively to direction and constructive feedback
- Ability to work cooperatively with others in a professional office environment
- Ability to maintain excellent punctuality and attendance
- Ability to maintain confidentiality and handle sensitive information with professionalism
- Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
- Ability to arrange for personal transportation for business-related travel
- Ability to work more than 40 hours as needed and in compliance with the FLSA
- Ability to lift and relocate 30 lbs.
- Ability to travel (including overnight travel) up to 5%
Executive Assistant III: All of the above qualifications for an Executive Assistant II, PLUS:
- Experience: Two (2) additional year of full-time experience working in the following (or closely related) fields: legal assistant, office manager, executive assistant, project management and/or administrative support
