Job Description:

Collaborating Artist Project Coordinator

Job Disclosures:

Project-Based Role: This is a project-based position with an anticipated duration of 4 months.

Compensation: The starting bi-weekly pay for this position is $2,709.23. Compensation may vary based on candidate experience.

Job Summary

Supports Flex Art Producers and the core Flex Art team in planning and installing collaborating-artist projects for a Meow Wolf exhibition. Coordinates schedules, logistics, documentation, and cross-team communication so installations stay on scope, on schedule, and clearly documented for stakeholders.

Key Responsibilities

  • Provide day-to-day coordination support to Flex Art Producers, Flex Art Production Designers, and the Artist Liaison on assigned projects.

  • Partner with the Art Installation Team on Flex installation needs and readiness.

  • Partner with the Logistics Team and site leadership to coordinate on-site shipping/receiving logistics for collaborating artist work.

  • Work with the Art Installation Team and Flex Producer to identify and resolve construction/installation conflicts.

  • Track installation timelines, capture progress, and keep stakeholders informed.

  • As needed, schedule meetings; prepare agendas; record and distribute notes; follow up on action items.

  • Maintain open/action item lists and drive timely issue resolution across departments.

  • Support collaborating artists with check-ins and scheduling in coordination with Flex Producers.

  • Organize project closeout documentation for collaborating artists.

  • Oversee and maintain installation documentation (e.g., SDS sheets, safety certifications).

  • Perform project-based errands and purchasing/ordering as requested.

  • Uphold safety, communication, and documentation standards throughout the installation.
     

Required Qualifications

  • 2+ years of experience in production or project coordination/management (creative installation, construction, museum/themed entertainment preferred).

  • Strong organizational, written, and verbal communication skills; effective cross-functional collaborator.

  • Proven ability to operate under pressure, meet deadlines, and drive tasks to completion within complex schedules.

  • Experience handling sensitive/confidential information with discretion.

  • Familiarity with document management, note-taking/transcription, and administrative workflows.

  • Proficiency with Google Workspace and Microsoft Office; ability to learn new platforms quickly.

  • Nice to have: experience with Airtable or similar project/asset tracking tools.

  • Positive attitude, strong work ethic, and a service-oriented approach to supporting artists and teams.
     

Work Environment and Physical Demands

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed must be representative of the knowledge, skills, minimum education, training, licensure, experience, and/or ability required.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and scanners. This position also works in an indoor setting with exposure to noisy environments, dim lighting, strong visual effects including strobing lights, special effects, fog machines and small and/ or enclosed spaces.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Physical ability to walk, stand, take stairs/slides/elevators, and navigate the elements during the day and night. Employee may be required to remain in a sitting or standing position for prolonged periods, and repeat motions that may  include the wrists, hands, and/or fingers. Must be able to lift up to 15 lbs pounds at times.

The employee will comply with company and OSHA standard workplace safety protocols. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Work Schedule

This is a full-time position that requires the ability to work a flexible schedule; typical core hours are Monday–Friday, 9:00 a.m.–5:00 p.m. CT, with occasional evening/weekend work based on business needs.

Supervisor Responsibilities

This position does not require supervisory responsibility.

Travel

This position will require minimal travel (<10%) to off-site locations as needed.
