Job Description

Summary:

The Enrollment Registration Specialist at National Heritage Academies guides families through the registration process with timely, accurate, and empathetic support—especially by phone during peak enrollment seasons—and assists parents as they navigate and complete required steps in the Parent Portal. The role manages applications, documentation, and data integrity for a select number of assigned schools while collaborating closely with school registrars, responding promptly to CRM dashboards and support tickets, and participating in partnership calls to keep enrollment work aligned and on track. The specialist also upholds compliance standards, performs system testing as needed, and supports Enrollment Operations leaders with projects and additional duties that contribute to full and accurate enrollment.

Duties and Responsibilities:

  • Provide Exceptional Customer Service: Guide families through the registration process with timely, accurate, and empathetic support across phone and email, prioritizing warm, professional phone-based assistance during peak enrollment seasons to ensure every family feels supported and informed.
  • Drive Student Enrollment: Process student applications across 5-7 assigned schools and ensure a smooth, timely registration experience for accepted students, while actively monitoring enrollment and completing weekly oversubscription to support full enrollment by Count Day.
  • Manage Registration Documentation: Review and process enrollment documents using electronic databases.
  • Recordkeeping and Parent Portal Support: Maintain accurate, detailed records of all family interactions in CRM and related systems while supporting parents as they register through the Parent Portal, providing clear guidance and troubleshooting to ensure a smooth experience
  • Daily Operational Tasks: Review and respond promptly to CRM dashboards and school support tickets for the assigned schools
  • Facilitate School Communication: Meet weekly with assigned school registrars to align on enrollment status and prevent missed steps. Communicate any registrar task delays to Enrollment Ops leaders to ensure all enrollment work stays on track.
  • Enrollment Partnership Calls: Participate in enrollment partnership calls with assigned school teams to share insights on family registration progress.
  • Ensure Compliance and Data Integrity: Uphold state laws and NHA policies throughout the enrollment process while conducting thorough, year-round data integrity checks—including preparing records for lotteries, maintaining accurate documentation, and identifying and resolving duplicate student records to ensure clean, reliable student data.
  • System-Testing: Perform system testing, as needed, using subject matter expertise to ensure new enhancements function properly.
  • Assist Enrollment Ops leaders and team members with special projects and enrollment initiatives.
  • Additional duties as assigned.


Qualifications:

  • Education and Experience: Bachelor’s degree preferred, or equivalent experience in customer service, call centers or related operational roles.
  • Customer Service & Communication Skills: Ability to provide timely, accurate, and empathetic support to families, with strong verbal and written communication skills and the capacity to guide parents through complex steps such as Parent Portal registration.
  • Enrollment & Workflow Management: Ability to learn and manage student application and registration workflows across multiple schools, demonstrating strong organization, follow‑through, and attention to detail.
  • Technical & Systems Proficiency: Strong computer skills with the ability to learn CRM platforms and other enrollment systems quickly and use them accurately.
  • Compliance & Data Integrity: Ability to learn and apply state laws and organizational policies while performing data‑integrity tasks such as reviewing documentation, supporting lottery preparation, and identifying or resolving duplicate student records.
  • Collaboration & Strategic Thinking: Ability to build effective working relationships with school teams, participate in partnership discussions, communicate issues proactively, and identify opportunities for process improvement.


This is an in-person position at our NHA Service Center located at 3850 Broadmoor Ave., Grand Rapids, MI.
