Job Description

JOB GOAL:
Maintain all student files and grade reports in a timely, accurate manner and to evaluate and enter transcripts into a computerized system.
 
 
QUALIFICATIONS:

  1. High School Diploma or equivalent.
  2. Ability to communicate effectively, both orally and written.
  3. Ability to interact effectively and with tact, with parents, administrators, teachers, and the general public.
  4. Ability to accurately and efficiently perform duties under conditions of constant interruption.
  5. Ability to work without close supervision and assume responsibility.
  6. A high degree of discretion in controlling the distribution of highly confidential information.
  7. Ability to operate office machines.
  8. Must be able to lift up to 25lbs occasionally.
  9. Must pass a background clearance.
  10. Must obtain an Arizona IVP Clearance Card

TERM OF EMPLOYMENT:  261 Days; 12 Months
COMPENSATION: Per QCUSD salary schedule for applicable position
BENEFITS:  As per QCUSD District policy
REPORTS TO:  Principal
EVALUATION:  Initial evaluation to be completed no later than ninety (90) days after first day of work; thereafter, annually by supervisor.
HOURS:  40 hours per week - Monday-Friday 7 a.m.-3 p.m.
CLASSIFICATION:  Hourly, non-exempt

PERFORMANCE RESPONSIBILITIES:
Responsibilities shall include, but not be limited to, the following:

  1. Sets up permanent record files for new and transfer students and verifies for completeness
  2. Maintains and services the active, inactive and withdrawal files for all students, including cumulative records, recording of grades, special tests, activities and other information as required
  3. Pulls and retrieves files as requested
  4. Sends out transcripts of students transferring to other schools or entering colleges and universities
  5. Computes grade point averages and class ranks of students
  6. Inputs and updates information into computer
  7. Maintains a variety of files and records
  8. Makes credit checks on every student and makes corrections where necessary
  9. Produces a variety of lists and reports for school use (class rank, graduation, diplomas, failure reports, proficiency scores, etc.)
  10. Assists in making and maintaining master schedule
  11. Performs all duties in a safe and prudent manner as directed
  12. Responds to all internal and external customers, as it relates to position, in a prompt, efficient, friendly and patient manner
  13. Functions effectively as a team member
  14. Be responsible, reliable and punctual
  15. Be flexible and adaptable to change
  16. Positively accepts direction
  17. Establishes and maintains courteous, cooperative working relationships with students, staff and parents
  18. Directs constructive criticism toward improving the district
  19. Exercises positive problem solving behavior and conflict resolution skills
  20. Adheres to the dress code appropriate to the site and job
  21. Shares sensitive student and staff information on a need to know basis
  22. Be a positive role model for students
  23. Works with a large cross section of people in a professional and non-judgmental manner.
  24. Performs other job-related duties as assigned to advance district priorities.
