JOB SUMMARY – To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
The Marketing Communications Coordinator – Cardiovascular, will provide administrative, operational, and communications support to the Cardiovascular Marketing team to help ensure marketing initiatives, physician engagement programs, events and business priorities are executed efficiently and professionally. This role works closely with Marketing, Sales, Medical Education, Clinical, Finance, Procurement, Compliance, Legal and external vendors to coordinate projects, support marketing communications, assist with event planning and maintain the administrative processes that keep marketing activities running smoothly.
Essential Duties and Responsibilities
Provide day-to-day administrative support to the Marketing team, including meeting coordination, calendar support, agenda preparation, note taking, follow-up tracking, and project organization
Assist with the coordination and execution of marketing communications initiatives, including internal communications, physician-facing materials, sales support resources, event communications, and marketing campaigns
Maintain project trackers, timelines, marketing calendars, content schedules, distribution lists, and other shared team resources
Organize, route, maintain, and archive marketing materials, presentations, promotional assets, and approved collateral
Assist with processing purchase orders, invoices, contracts, statements of work, and other financial documentation
Support budget tracking by maintaining marketing expense trackers and monitoring purchase order and invoice status
Coordinate administrative activities with Finance, Procurement, vendors, and agency partners to support timely processing of marketing projects and payments
Assist with the coordination of physician engagement activities, including advisory boards, speaker programs, physician training events, scientific forums, and KOL programs
Support physician communications, meeting logistics, travel coordination, contracts, honoraria documentation, attendee tracking, and event preparation
Partner with Medical Education, Sales, Clinical, Compliance, and Legal teams to support the successful execution of physician education programs
Assist with planning and coordinating conferences, sales meetings, physician education programs, webinars, advisory boards, and other internal and external events
Coordinate event logistics, including registration, attendee communications, meeting materials, shipping, signage, vendor coordination, travel arrangements, and on-site support
Support post-event activities, including survey distribution, attendee follow-up, budget reconciliation, reporting, and organization of event materials
Assist in preparing and coordinating internal and external marketing communications, including emails, newsletters, event invitations, social media content, sales communications, and promotional materials
Help coordinate content reviews, approvals, timelines, and distribution of marketing assets while maintaining brand consistency
Support internal creative teams and external agency partners by assisting with project coordination, edits, approvals, and final asset distribution
Build collaborative working relationships with Marketing, Sales, Medical Education, Clinical, Finance, Procurement, Regulatory, Compliance, Legal, and other internal business partners to support successful execution of marketing initiatives
Maintain organized records, files, and documentation to support marketing operations and ensure accurate project tracking
May perform other duties as assigned
QUALIFICATIONS –The requirements listed below are representative of the knowledge, skill or ability required.
Education and Experience
Bachelor Level of Degree in the Marketing, Communications, Business, Healthcare Administration or related field of study
1 year of demonstrated experience in marketing, communications, event coordination, administrative support, or project coordination; medical device, healthcare or life sciences experience preferred
Skills/Knowledge
Strong organizational skills with the ability to manage multiple projects, timelines, vendors, and administrative details at once
Experience processing purchase orders, tracking invoices, maintaining budgets, or supporting finance/procurement processes preferred

Proficient in the following computer software applications: Microsoft Office, Canva, Cvent, project tracking tools
Exceptional interpersonal skills.
Strong organizational skills.
Strong communication skills (written and verbal).
Ability to effectively communicate both internally and externally.
Ability to read and interpret documents such as safety rules, operating and maintenance. instructions, and procedure manuals. Ability to write routine reports and correspondence.
This position requires some travel up to 50% of the time
