Location: US:WI:MILWAUKEE at our WI DIAGNOSTIC LABORATORIES facility.
FTE: 1.0
*1.0 FTE is Full-Time, any position less than 1.0 FTE is Part-Time, and .001 FTE is Casual*
Standard Hours: 40.00
*Positions with an "FTE" (full time equivalency) of .8 - 1.0 are eligible for full-time medical, dental and vision benefits. Positions with an "FTE" of .5 - .799 are eligible for part-time pro-rated medical, dental and vision benefits*
Shift: 1st shift (Hours will vary based on departmental/organizational need).
Summary:
Responsible for the management and operations of onsite and mobile phlebotomy, long term care client services, and relationships with and management of the outsourced courier vendor.
Responsibilities:
1. Effectively and efficiently maintains the daily work schedule for Support Services operations including phlebotomy, order entry staff, and courier services, assuring appropriate levels of staffing are achieved and vendors are aligned to meet daily workloads and workflow.
2. Provides thoughtful leadership to continually improve processes and workflows and serves as the change management champion of the department.
3. Demonstrates ability to develop leaders and delegate responsibilities. Ensures leaders can effectively manage scheduling, problem-solve, and thinking critically.
4. Manages vendor relationship with outsourced couriers. This includes monitoring performance to make sure routes are running efficiently and client expectations are met. Ensures issues are resolved in a timely manner.
5. Acts as back up when necessary to supervisors for payroll, performance evaluations, scheduling, fleet management, and policy development.
6. Conducts Rounding on supervisors and ensures 30/90 Day Check In’s are completed by supervisors and staff.
7. Provides timely problem resolution to internal and external customers. Seeks and considers alternative solutions. Provides timely follow-up to staff to ensure problem/issue is resolved and does not reoccur.
8. Sets standard for productivity and effectively monitors that all staff are meeting minimum expectations or greater.
9. Interviews, selects, trains, motivates, coaches and mentors potential employees who show interest in furthering their career (succession planning). May assist in providing training as needed.
10. Conducts and coordinates departmental new employee orientation and schedules on-going training for current employees. Continually assesses training progress and adjusts training schedules to ensure competency.
11. Ensures employees are familiar with and are regularly following policies and procedures. Coordinates required periodic staff reviews and sign-offs on policies, regulatory items, minutes, safety updates, etc.
12. Promotes continuous quality improvement initiatives through employee education, ongoing projects, and creative critical thinking. Engages staff in their work and the company/mission.
13. Communicates regularly with employees by: a) Maintaining communication with employees on individual basis regarding job satisfaction, performance, career development to retain employees and reduce unwanted turnover. B) Coaching and counseling employees regarding significant performance issues and follows up by preparing performance improvement plans and/or progressive disciplinary action as needed, in an objective and consistent manner based on the rules of employee conduct. C) Conducting meaningful staff meetings at least monthly, sharing company information, inviting input and preparing comprehensive minutes.
14. Prepares and conducts annual employee performance evaluations within the month they are due. Obtains input from other members of the leadership team regarding technical performance, as applicable and performs/coordinates with supervisors, observed competencies
15. Develops, monitors, and reports QA standards and objectives, using outcome data to enhance quality of services which includes: a) Working to resolve situations as they occur so that department processes continue in a timely manner. b) Maintaining approved performance indicators and meets/exceeds quality parameters, as directed. c) Ensuring compliance with Wisconsin Diagnostic Laboratories’ Compliance plan, by proactively contributing to policy and procedure updates, staff education, and compliance monitoring. d) Preparing for and participating in on-site inspections by certifying agencies. e) Proactively identifying risk occurrences within the department, i.e., errors, accidents, incidents and follows up with comprehensive investigation to resolution, as requested.
16. Meets departmental operations budget, within acceptable variances by: a) Looking for innovative approaches to expense reduction and cost-effective system enhancements. b) Preparing various reports pertaining to FTEs, overtime- exploring methods to reduce direct costs per FTE. c) Using turn-around time and variance reports, regularly plans for and maintains staffing to meet workload and performance expectations.
Qualification:
1. Bachelor’s degree preferred or an Associate’s degree with a minimum of five years directly related experience required.
2. Minimum of three years management experience, preferably in a clinical laboratory.
3. Ability to communicate effectively with diverse populations by being articulate, concise, and persuasive both in writing and orally.
4. Demonstrated project and time management, and critical thinking skills,
5. Flexibility to meet customer needs,
6. Proficient in Microsoft Office Suite.
7. Knowledge of principles of organizational development and organizational effectiveness preferred.
