Role Overview


The Intake and Information Specialist is responsible for the intake of clients and maintaining information and resources in the resource centre for all client use. The Intake and Information Specialist works with Self-Directed clients and may be asked to provide support in both the Cambridge and Kitchener locations. The Intake and Information Specialist will deliver quality service within a fast-paced and target-driven environment.

 

What you will do… 

  • Provide welcoming first line customer service.
  • Create positive and productive relationships with clients.
  • Provide current labour market information in order to assist job seekers with their employment/educational goals.
  • Update, acquire and enhance resources used by participants to ensure appropriate referrals are made for barriers to employment. Included are mental health resources, housing, addiction, criminal involvement and any other identified needs.
  • Assist participants in the Resource Centre regarding computers, job searching, job bank or any other assistance they may require.
  • Assist clients with accessing and navigating Thrive Career Wellness Service.
  • Assist Self Directed clients with pre-employment activities (resume and cover letter preparation, mock interviews, employer research.)
  • Photocopy and submit resumes and cover letters for participants.
  • Ensure accurate information is entered and uploaded in all required systems within 24 hours for all client interactions, including self-directed and case managed clients. Accurate and detailed case notes for client information are a vital part of this role. 
  • Check systems (Common Assessment Portal) at least twice daily for referrals from various pathways, including Social Assistance through the Common Assessment portal, Targeted Referral (TRF) and Feedback, Request a Service Provider (RASP) and from the Serco Web Presence. Distribute referrals to Employment Coaches for initial case conferencing with Social Assistance Case Workers.
  • Maintain Information Management Systems by entering client data into the SSM’s information management systems and EOIS-CaMS.
  • Comply with data integrity and security policies on all systems: including but not limited to the SSM’s systems and EOIS-CaMS. Confirm data integrity by reviewing data for deficiencies or errors. Correct data incompatibilities and check outputs.
  • Keep information confidential.
  • Collaborate with other community service agencies.
  • Provide presentations and information to community groups, schools and agencies and other organizations involved in providing community-based programs.
  • Organize and deliver workshops on employment related topics.
  • Prepare internal reports utilizing internal systems.
  • Attend and actively engage in various internal and external meetings, representing the YMCA for the purpose of case conferencing, professional development, community engagement and relationship building.

What you will bring…

 

  • Completion of Community College degree/diploma in Human Services
  • Intermediate computer knowledge of Microsoft Office and Access
  • Excellent interpersonal and oral and written communication skills 
  • Ability to communicate in a 2nd Language an asset (Oral and Written) 
  • Acceptable Police Check 
  • 2-3 years employment services or social services experience 
  • Decisions related to client barriers, obstacles in achieving employment goals, placement suitability
  • Decisions related to cold calls to connect with employers
  • Working with employers and clients to resolve concerns and issues
  • Tasks are diversified and follow a wide range of standardized slightly complex procedures
  • Tasks are considered semi-routine and may be of several varieties
  • Moderate exercise of judgement generally covered by standards and precedents
    • Problems may occur as a regular part of the job 

This role requires regular travel across the region, which may not always be easily accessible through public transit. The employee must be able to arrange their own transportation to these sites. Valid G driver’s license and full time vehicle access is strongly recommended.
