POSITION SUMMARY:
The Associate CHB Coordinator is an entry-level role designed to provide foundational experience in customs brokerage operations. Working under the guidance of a CHB Team Lead, CHB Supervisor, or senior team members, this position supports customs entry preparation, documentation review and operational activities while developing knowledge of customs regulations and brokerage processes. This role contributes to team productivity, compliance, and service quality while building the foundation for future advancement within the Customs Brokerage function.
DUTIES & RESPONSIBILITIES:
- Assist with preparing and processing customs entries under the guidance of experienced team members.
- Review shipment documentation for completeness, accuracy, and compliance with established requirements.
- Support adherence to customs regulations, client SOPs, and internal brokerage procedures.
- Escalate documentation discrepancies, compliance concerns, and non-routine situations as appropriate.
- Participate in training programs, coaching sessions, and developmental opportunities.
- Build knowledge of customs regulations, brokerage procedures, and industry requirements.
- Seek and apply feedback to improve performance and technical proficiency.
- Shadow senior team members to gain exposure to client interactions and regulatory processes.
- Support administrative and operational activities that contribute to efficient team performance.
- Maintain shipment files, documentation, and system records accurately and timely.
- Enter and manage data within brokerage systems and related platforms.
- Assist with workload management and completion of assigned processing tasks.
- Identify documentation discrepancies, data errors, and routine processing issues.
- Research and resolve basic issues using established procedures and available resources.
- Collaborate with team members to address operational challenges.
- Escalate complex regulatory, client, or shipment-related issues to leadership.
- Partner with team members to support brokerage operations and client service objectives.
- Participate actively in team meetings, coaching discussions, and knowledge-sharing opportunities.
- Communicate questions, concerns, and status updates clearly and professionally.
- Demonstrate reliability, responsiveness, and a team-oriented approach in daily work.
- Perform other duties as assigned.
BENCHMARKS FOR MEASURING SUCCESS:
- Assigned entry tasks completed accurately and on time under the guidance of Team Lead, Supervisor, or senior team members
- Shipment documentation reviewed and verified for completeness and accuracy prior to entry filing
- Active participation in all assigned training programs, 1:1 coaching sessions, and team meetings — attendance and engagement documented
- Feedback from Team Lead and Supervisor sought and applied — demonstrated through progressive reduction in errors and required corrections on assigned work
- Shadowing activities completed as assigned — gaining hands-on exposure to client and regulatory interactions
- Administrative and operational support tasks completed accurately and on time when assigned
SKILLS & QUALIFICATIONS:
Technical Skills:
- Foundational understanding of customs brokerage operations and import processes.
- Ability to review and validate shipment documentation.
- Basic proficiency in Microsoft Office Suite.
- Ability to learn customs brokerage systems and technology platforms.
- Data entry and record management accuracy.
Business Skills:

Required:
- High school diploma or equivalent required.

Preferred:
- Bachelor's degree in Business, Logistics, Supply Chain, International Trade, or a related field.
- Internship, coursework, or prior exposure to logistics, customs brokerage, or international trade.
- Proficiency with Microsoft Office applications.
- Experience working with data, documentation, or operational systems.
OFFICE / WORK ENVIRONMENT & PHYSICAL DEMANDS
This position operates in a professional office environment (and/or remotely from a home office) with a quiet to moderate noise level and routinely requires the use of standard office equipment such computers, photocopying machines and storage/filing cabinets. This is a largely sedentary role, however, lifting items under 25 pounds as well as the ability to bend, stand and walk short distances may be required.
