Position Overview – Zonal Head – Facility & Administration 

The Zonal Head – Facility & Admin is responsible for managing all large ZEISS facilities in the West and North regions. This role oversees facility operations, administration, vendor governance, infrastructure upkeep, safety standards, and service delivery. The ideal candidate brings strong operational leadership, expertise in managing large-scale and multi-site facilities, and experience overseeing 3rd-party services under strict performance metrics. 

 

Key Responsibilities 

1. Regional Facility Management 

  • Oversee day-to-day operations of all ZEISS facilities across West and North India. 

  • Ensure seamless functioning of workplace infrastructure including office buildings, experience centers, service hubs, and warehouses. 

  • Drive preventive and corrective maintenance programs to ensure uptime and operational continuity. 

2. 3rd-Party Vendor & Service Provider Management 

  • Manage and monitor outsourced facility partners including housekeeping, security, technical services, cafeteria, and transport. 

  • Define KPIs, SLAs, and performance benchmarks for all vendors and ensure strict compliance. 

  • Conduct periodic audits, performance reviews, and cost assessments to ensure value-for-money services. 

3. Administrative Operations 

  • Oversee administrative services such as travel management, office services, asset management, transport, and utilities. 

  • Ensure timely procurement and availability of office supplies, facility equipment, and administrative resources. 

  • Support business teams with administrative coordination for events, visits, and meetings. 

 

4. Infrastructure, Projects & Fit-outs 

  • Plan and execute facility upgrades, renovations, relocations, and expansion projects. 

  • Work closely with internal stakeholders, architects, and contractors to ensure on-time, in-budget delivery. 

  • Ensure compliance with ZEISS corporate design and workplace standards. 

5. EHS, Compliance & Governance 

  • Ensure facilities adhere to Environment, Health & Safety (EHS) guidelines and statutory norms. 

  • Conduct safety audits, fire-drills, risk assessments, and compliance reviews. 

  • Maintain documentation for licenses, approvals, insurance, AMC records, and regulatory filings. 

6. Budgeting & Cost Control 

  • Prepare and manage facility and admin budgets for assigned regions. 

  • Optimize operating costs through contract negotiation, process improvements, and efficiency measures. 

  • Track expenses, variances, and annual budget utilization. 

7. Employee Experience & Stakeholder Management 

  • Enhance workplace comfort, safety, and productivity through improved facility and admin services. 

  • Serve as the single point of contact for leadership teams in the West and North regions. 

  • Build strong relationships with internal clients and quickly address escalations. 

 

Required Qualifications & Skills 

  • 10–12 years of experience in Facility Management and Administration, preferably in multi-location or large corporate environments. 

  • Proven experience in managing large facilities and outsourced/3rd-party operations. 

  • Strong understanding of engineering services, building operations, housekeeping, security, and vendor management. 

  • Knowledge of statutory compliance and workplace safety norms. 

  • Excellent leadership, communication, negotiation, and stakeholder management skills. 

  • Experience in managing facility projects (fit-outs, upgrades) is an advantage. 

  • Certifications in Facility Management (IFMA, FMS, NEBOSH for safety) are a plus.
