The Cosmetic Coordinator is responsible for scheduling all cosmetic consultations and procedures. The coordinators are also responsible for prepping the cosmetic encounters for the week, collecting prepayments for larger procedures, checking patients out and collecting payments for procedures and products and scheduling their upcoming appointments.

 

Schedule:

Monday - Friday 8:30am - 5:30pm

 

Work Arrangement: Flexible scheduling options available—3, 4, or 5 days per week. Responsibilities and scope of the role will vary based on the selected schedule.

Responsibilities

  • Assists in cosmetic dermatology clinic. Intakes and preps patient, assists practitioner, closes appointment.
  • Schedules cosmetic appointments (consultations and procedures).
  • Prep cosmetic encounters for upcoming appointments with correct names, cost, and packages.
  • Tasks charts for review weekly to providers that oversee procedures.
  • Participating and planning cosmetic open house events and established patient retention lists.
  • Consulting new cosmetic patients and managing monthly reports on new patients.
  • Completes tasks in EMA in a timely manner with patients questions, concerns or scheduling needs
  • Overseeing the schedule for the cosmetic provider: reschedule, cancel procedures, and adjusts schedules
  • Monitor openings on the schedule and attempt to fill with specials or conversion.
  • Product knowledge or learns skin care lines and coming up with skin care regimens.

Qualifications

EDUCATION:

  • High School diploma is required.
  • 1-2 years of recent office experience is preferred.

ABILITIES:

  • Must be detail oriented.
  • Must have excellent communication skills and the ability to communicate effectively orally and in writing.
  • Demonstrated leadership experience. Must be able to demonstrate leadership by serving as an example to others with regard to professional behavior, handling multiple tasks, maintaining a positive attitude, and in response to organizational change.
  • Proficiency with email and learning EMR is required. Must be able to learn new software quickly.
  • Must possess excellent leadership, organizational, and computer skills.
  • Ability to work effectively and cooperatively with staff, board, clients, and the public.
  • Ability to multi-task, prioritize appropriately, and work well both individually and as part of a team.
  • Ability to use time productively and contribute to high levels of company operational efficiency and effectiveness.
  • Ability to maintain confidentiality of information.
