Easterseals NH is excited to announce we are hiring for a Property Management Administrator! This role is responsible for assisting and providing administrative support to the Senior Vice President of Property Management, Senior Vice President of Housing and Property Development, Director of Maintenance and Property Manager(s). The Administrator will also provide administrative and customer service support with the daily operations of Easterseals owned and leased facilities and housing properties.
Qualifications:
- High School Diploma or equivalent with four (4) years of administrative experience OR
- High School Diploma or equivalent with two (2) years’ experience in a fast paced, high volume office environment; facilities and/or property management experience
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Experience with Yardi Breeze or similar property management software, preferred
- Strong interpersonal skills and ability to work well with a variety of diverse individuals both inside and outside of the Agency
- Proven record of providing excellent internal and external customer service
- Excellent oral and written communications skills
- Ability to exercise sound judgment with sensitive and/or confidential information
- Excellent mathematical and reasoning skills, including but is not limited to the ability to perform basic mathematical skills such as (add, subtract, multiply, divide, fractions, decimals, etc.)
- Attention to detail, accuracy, and ability to meet strict deadlines
- Valid driver’s license and reliable transportation
Essential Responsibilities:
Maintenance, Facilities, and Property Development
- Provides clerical support for Facilities Services as needed
- Facilitate communication with vendors, track vendors contact information and contracts
- Schedule and track preventive maintenance, repairs, and facility inspections to ensure the infrastructures remain in optimal condition.
- Coordinate work orders and liaise with maintenance staff, contractors, and service providers.
- Maintain an inventory of supplies and equipment, ensuring timely reordering and proper usage.
- Assist in the planning and execution of facility-related projects and renovations.
- Monitor and maintain the property maintenance work order system and assist in the preparation of monthly reports on status of work orders.
Property Management
- Oversee and maintain the waiting lists by ensuring proper receipt of pre-applications, placement of the wait lists and sending receipt letters. Keeping records of all prospective applicant information, conducting periodic purges of the waiting list, and processing reports as needed.
- Greets public, answers telephone, provides information regarding housing properties, and provides housing information as needed. Refer more in-depth housing problems to supervisor or appropriate staff member. Assist Property Management as needed with reports and tasks associated with Property Management operations and actions to ensure compliance with all applicable laws and company policies.
- Perform administrative tasks associated with property management including accounting and financial reporting, reconciling resident accounts, and performing other clerical duties as needed.
- Assist with resident communication as needed.
- Assists Property Management as needed, which can include assisting with income certifications, move-ins, compliance and reporting.
- Assist Property Management as needed on special projects.
- File, fax, scan, copy and distribute lease documents and other correspondence
Compensation: $21.00 – $22.50 an hour.
Hours: Full-time, Monday-Friday, 8:30am - 5pm.
