Job Description
Why Ivo?
Every civilization runs on the same infrastructure: agreements between people who don't fully trust each other. Sumerians pressed them into clay. Romans carved them into stone. We bury them in 80-page PDFs.
The way those agreements are reviewed hasn't changed in four thousand years - a human reads the whole thing and tries not to miss anything. We're building the AI that finally changes that. Ivo is the contract intelligence platform of choice for companies like Uber, Meta, Canva, IBM, and Shopify. We recently raised our Series B and have grown 800% over the last 12 months.
Position Overview:
We’re hiring a People Operations Specialist to own the day-to-day people operations foundation at Ivo. This is a highly detail-oriented, high-trust role for someone who loves building clean systems, keeping data and processes tight, and making the employee experience feel seamless.
You will be the operational backbone for our PEO and core HR workflows, ensuring every employee has a smooth, consistent onboarding and offboarding experience. You will also partner cross-functionally to keep our people operations practices audit-ready and aligned with our security and privacy commitments (SOC 2, ISO, and GDPR).
This role is for someone who is excited to grow with the company, be a strong business partner to leaders and teammates, and continuously improve how we support people while scaling.
Key Responsibilities:
Own PEO administration and data cleanliness: maintain accurate employee records and ensure consistency across the PEO, benefits, payroll, and internal systems.
Run end-to-end onboarding: coordinate offers-to-start workflows in partnership with IT and Talent, collect required documentation, coordinate payroll and benefits enrollment, and ensure a welcoming, high-quality Day 1 experience and smooth start.
Run end-to-end offboarding: manage terminations and resignations with rigor and empathy, including final pay coordination, benefit end dates/COBRA, access removals coordination, and exit process documentation.
Administer benefits: manage employee enrollment changes, qualifying life events, open enrollment planning support, and ongoing employee support for benefits questions.
Support payroll operations: ensure correct inputs, changes, and approvals are captured on time; reconcile discrepancies; and coordinate with the PEO and Finance to resolve issues quickly.
Build foundational policies and handbook content: draft and maintain baseline, practical HR policies (time off, leave, working hours, remote/hybrid expectations, code of conduct, conflict of interest, etc.) in a clear, readable format.
Maintain compliance hygiene: help ensure our people operations practices support SOC 2 and ISO controls as needed, and partner with Legal/Security/Ops on GDPR-related people data handling.
Create and maintain SOPs: document repeatable processes for onboarding, offboarding, employee changes, benefits, payroll inputs, and policy updates so we can scale without fragility.
Improve systems and workflows: identify gaps, propose improvements, and implement lightweight automations that reduce manual work and prevent errors.
Be the point person for employee support: serve as a go-to resource for day-to-day questions, respond quickly and clearly, flag patterns or risks early, and help leaders navigate HR processes appropriately.
Qualifications:
2–5+ years of experience in HR operations, People Ops, or HR generalist roles, ideally in a fast-moving company.
Extremely detail oriented: you catch issues before they become problems, and you keep systems clean over time.
Strong business partnering instincts: you can connect HR operations work to business outcomes and team effectiveness.
Experience working with a PEO and supporting benefits and payroll processes (or demonstrated ability to learn quickly and own them end-to-end).
Comfortable writing clear, practical policies and maintaining a lightweight company handbook.
Working knowledge of HR compliance basics and strong judgment with sensitive information.
Ability to collaborate cross-functionally (Finance, Legal, Security, IT) and keep stakeholders aligned.
Strong written and verbal communication: you are clear, responsive, and thoughtful.
High integrity and discretion with confidential employee data.
Ivo might be a good fit for you if you:
Love making systems reliable, accurate, and audit-ready.
Care deeply about creating an exceptional employee experience.
Take pride in doing the unglamorous work that makes everything run smoothly.
Enjoy being the go-to person for getting details right and unblocking others.
Are excited to grow with a company and help build the foundation as we scale.
Compensation and benefits
Competitive Compensation: The USD OTE range for this role is $100,000 - $120,000 (+equity would be on top of this). Final offer details are determined based on experience, expertise, and overall fit.
Relocation and Visa Support: We also offer relocation assistance for successful applicants moving to SF and New York, as well as support for visa and green card applications where applicable.
Medical benefits: Comprehensive medical, dental and vision plans to suit the needs of you and your family.
401(k) Program: Plan for your future with access to our company-sponsored 401(k) program.
Commuter Benefits: We provide commuter benefits to help make getting to and from the office easier and more convenient.
Unlimited PTO: So you can take the time you need to recharge, stay healthy, and bring your best self to work.
Office Perks: Enjoy a vibrant office with catered lunch provided five days a week, premium snacks and coffee, a gym located in the building, and a dog-friendly environment!
