
Crew Experience Specialist
Job Description
Summary
We’re looking for a highly organized, proactive, and people-focused individual who thrives on bringing ideas to life to support the delivery of the Best Gig Ever for our Crew — with a primary focus on shoreside and support across the fleet.
This role plays a critical part in bringing Crew Experience to life through strong execution and coordination. You’ll support events, programs, and key initiatives — ensuring the details are handled, timelines stay on track, and everything shows up seamlessly and on-brand.
Working closely with the Senior Manager, Crew Experience and in partnership with the Fleet Crew Engagement & Communications Manager, you’ll help ensure a connected and consistent experience across ship and shore.
This gig is based at VVHQ - our swanky Virgin Voyages Head Office in Plantation, FL where we follow a hybrid work environment. We can't wait to 'sea' you in person during our Collaboration Days, Tuesdays, Wednesdays, and Thursdays, while you enjoy Mondays and Fridays' as remote days.
Essential Responsibilities
Shoreside Crew Experience & Events
Support the planning and execution of shoreside Crew events, activations, and engagement moments (celebrations, wellbeing, recognition, onboarding, etc.)
Coordinate logistics, including vendor communication, ordering, setup, execution support, and breakdown
Ensure all experiences are delivered smoothly and reflect the Virgin Voyages brand and culture
Identify opportunities to enhance day-to-day shoreside Crew experience through thoughtful execution
Crew Experience Projects & Program Support
Support the delivery of key Crew Experience initiatives, including projects such as the Crew engagement survey and other feedback programs
Assist with the coordination of timelines, logistics, and stakeholder inputs to keep projects on track
Conduct research and gather information to support new initiatives or enhancements
Track actions, follow-ups, and deliverables to ensure progress and completion
Crew Champions & Feedback Coordination
Support the coordination of the shoreside Crew Champions program, including scheduling, communications, and meeting logistics
Help gather, organize, and document Crew feedback and insights
Assist in ensuring follow-ups and updates are communicated back to Crew
Crew Experience Inbox & Communication Support
Manage and respond to the Crew Experience inbox, ensuring timely, helpful, and consistent communication with Crew
Escalate themes, questions, or issues as needed to the broader Crew Experience team
Recognition & Program Support
Support the execution of Crew recognition programs and key moments (birthdays, anniversaries, celebrations, etc.)
Assist in maintaining program cadence, materials, and logistics
Help bring recognition initiatives to life through consistent, thoughtful delivery
Operations & Logistics
Own purchasing, ordering, and inventory of materials, swag, and supplies for Crew Experience initiatives (ship and shore)
Coordinate vendor sourcing, shipping logistics, and deliveries globally
Support budget tracking and expense reporting
Ensure materials and resources are delivered accurately and on time
Fleet Support & Collaboration
Partner with the Fleet Crew Engagement & Communications Manager to support fleet-wide initiatives as needed
Assist in preparing materials, shipments, or resources for shipboard teams
Provide coordination support to shipboard Crew Engagement Managers when required
What We’re Looking For
1-2 years of experience in employee engagement, events, internal operations, office management, or similar
Highly organized with strong attention to detail and the ability to manage multiple tasks simultaneously
Strong communication and coordination skills
Experience with content creation tools (Canva, Adobe, etc.) is a plus
A proactive, solution-oriented mindset with a strong bias for action
Strong interpersonal skills and ability to build relationships across teams
Comfortable working in a fast-paced, dynamic environment
Experience in hospitality, travel, or people-focused industries is a plus
Willing to travel up to 30% of the time
