HR Coordinator & Onboarding Specialist

Job Description

We're looking for a highly organized and analytical professional to help shape the new hire journey across our organization. This role offers the opportunity to gain exposure to a wide range of Human Resources functions while serving as a key driver of our recruiting and onboarding efforts. The ideal candidate enjoys creating structure, managing multiple priorities, and building strong relationships with candidates, hiring managers, and employees.

You'll play a critical role in attracting talent, coordinating hiring activities, facilitating onboarding, and supporting employee experience initiatives. Along the way, you'll gain experience working across multiple areas of HR, including compliance, reporting, employee communications, HR systems, and process improvement. Success in this position requires strong attention to detail, excellent follow-through, and a commitment to providing a high level of service to every person you interact with.

 

Essential Duties & Responsibilities:

  • Manage full-cycle recruiting activities, including job postings, candidate screening, interview coordination, offer preparation, and pre-employment processing.
  • Partner with executive leadership and hiring managers across multiple locations to ensure candidates move efficiently through the hiring process and staffing needs are met.
  • Partner with HR team to coordinate and facilitate engaging in-person and virtual new hire orientations and onboarding experiences.
  • Create and maintain onboarding workflows to ensure all documentation, compliance requirements, and employee records are completed accurately and on time.
  • Monitor recruiting pipelines, onboarding progress, and hiring metrics, generating reports and identifying opportunities for process improvement.
  • Ensure compliance with I-9 requirements, employment eligibility verification, employee certifications, and applicable employment regulations.
  • Serve as a primary point of contact for candidates, managers, and employees, providing timely communication and exceptional customer service.
  • Support employee engagement initiatives, HR communications, and administrative processes that contribute to a positive employee experience and strong workplace culture.

Experience and Qualifications Needed:

  • Strong organizational and time-management skills with the ability to manage multiple priorities in a fast-paced environment.
  • Exceptional attention to detail and accuracy, with a commitment to maintaining high-quality work and process compliance.
  • Strong analytical skills, including experience tracking metrics, generating reports, and using data to drive decisions and improvements.
  • Excellent verbal and written communication skills, with the ability to build relationships and communicate effectively at all levels of the organization.
  • Customer-service-oriented mindset with a passion for creating positive candidate and employee experiences.
  • Ability to maintain confidentiality and handle sensitive information with professionalism, discretion, and integrity.
  • Proficiency in Microsoft Office applications; experience with HRIS platforms such as ADP Workforce Now and applicant tracking systems preferred.
  • 2+ years of experience in recruiting, talent acquisition, onboarding, human resources, or a related field preferred.
