Position Overview
We are seeking a highly organized and detail-oriented Executive Assistant to support daily administrative and operational tasks. The ideal candidate is tech-savvy, proactive, and experienced in handling digital tools, email platforms, spreadsheets, scheduling systems, and project management software. This role requires strong organizational skills, accuracy, and the ability to follow templates and approved workflows efficiently.
Key Responsibilities
- Create and manage email campaigns in HubSpot using approved drafts
- Add basic graphics, hyperlinks, CTA buttons, and personalization tokens
- Ensure formatting and branding consistency
- Create surveys in Zoho Survey from approved drafts
- Understand and apply survey logic, branching, and response flow
- Process student files using Excel and/or Google Sheets
- Perform tasks such as sorting, filtering, removing duplicates, and organizing data
- Prepare client-facing emails from templates
- Insert hyperlinks and ensure professional formatting before sending
- Manage scheduling and calendar coordination using tools such as Calendly
- Track project progress and task updates within Monday.com
- Create and organize digital resources using provided templates
- Provide general administrative and operational support as needed
Qualifications
- Previous experience as an Executive Assistant, Virtual Assistant, or Administrative Assistant preferred
- Proficiency in:
HubSpot
Zoho Survey
Microsoft Excel/ Google Sheets
Monday.com
Calendly - Strong attention to detail and organizational skills
- Excellent written English communication skills
- Ability to multitask and manage deadlines efficiently
- Comfortable working independently in a remote environment
- Experience with digital content formatting and templates is an advantage
