Medical Education Specialist - Surgery Residency

What you'll do
The Medical Education Specialist is responsible for providing administrative and operational support tothe Residency Coordinator and Program Director for the Surgery Residency Program. This role ensuresthat all assigned responsibilities are performed in compliance with accreditation and regulatoryrequirements, including those of the Accreditation Council for Graduate Medical Education (ACGME), the American Board of Surgery (ABS), and applicable New York State Department of Health (NYSDOH) and Department of Education (DOE) standards. The Specialist is accountable for producing, reviewing, and analyzing program data and reports, ensuring accuracy, completeness, and data integrity. In addition, the role coordinates and actively participates in key Graduate Medical Education (GME) initiatives, including resident recruitment, orientation and onboarding, graduation activities, and wellness programming.
Essential Job Functions
1. Responsible for developing, organizing, implementing, and maintaining systems that support the residency program and operational plans. All systems and documentation must be in compliance with ACGME Common and Specialty Specific Requirements, ACGME supervision requirements, the American Board of Surgery (ABS), service and clinical needs. Electronic systems used are, but are not limited to: EPIC, MyEvaluations,
SIMPL, SCORE and internal Bassett systems.Conference Schedules
- Create schedule templates
- Tracks attendance
- Assures recording schedule, edit’s record and uploads to VBrick system
- Updates conference schedule on the departmental TV monitor
- Coordinates visiting professor lectures including travel arrangements, reimbursement and
honorarium payments - Enters on-call schedules into Tiger Connect and assures accuracy
- Sets up academic year schedules
- Serves as the primary point of contact and maintains and mange resident data across
multiple systems including MyEvaluations, SIMPL and ACGME ADS, ensuring accuracy
and timely updates - Complies and organizes required documentation for Clinical Competency Committee
meetings and Mid-Year Evaluations including information from evaluations and operative
log reports - Coordinates and support Program Director leadership sessions, including logistics and
material preparation - Coordinates and organize Skills Lab sessions
- Develops, distributes and tracks surveys as requested, ensuring timely collection and
reporting of results - Maintain and update the Surgery Residency page on the internal bNet platform
- Coordinates meetings and events and arranging necessary resources and materials
2. Coordination of Resident Requirements and Program Activities
- Coordinate resident PECOS enrollment to assure compliance with federal requirements
- Assists and tracks resident initial applications and renewals for New York State medical
licensure and DEA registration - Coordinates credentialing processes residents across Bassett Healthcare Network affiliate
hospitals - Facilities and manages resident away rotations, ensuring program letters of agreements
and credentialing requirements are completed and maintained - Coordinate and monitor the residency reappointment process to assure timely completion
and complianc - Organizes and coordinates intern Boot Camp, including planning, scheduling an
implementation
3. Produces and processes reports, as well as reviews, analyzes and assures the integrity of
the data. Including but not limited to:
- Schedules
- Evaluations
- Recruitment
- Certifications
- Training verifications
4. Acts as an educational resources regarding the General Surgery Residency Program
- Serves on departmental and network committees as required or requested
- Provides direction and guidance to residents, faculty, GME leadership and administrative
staff
5. Participates or leads Graduate Medical Education (GME) projects as assigned. Included
but not limited to:
- Recruitment
- On-boarding/orientation/retention
- Wellness
- Graduation
- Conferences, lectures
6. Performs other related duties as assigned by the Residency Program Coordinator,
Program Directors and Administrative Director of Medical Education
What we need from you
Education:
- 2 Year / Associate in Degree Business, Healthcare, Education, or other related field, two additional years of experience may substitute for Associates degree. Experience may be considered in lieu of education, required
- 4 Year / Bachelor's Degree in Business, Healthcare, Education, or other related field, preferred
Experience:
- Minimum 2 years of administrative or customer service, required
- Minimum 1 year of experience in electronic scheduling systems, preferred
- Minimum 1 year of experience in Graduate Medical Eduction or Educational setting, preferred
Licensure/Certifications:
- Current Driver's License, required

Physical Requirements:

Pay Range
Salary is based on a variety of factors, including, but not limited to, qualifications, experience, education, licenses, specialty, training, and fair market evaluation based on industry standards. The above compensation range represents a good faith belief of the compensation range by Bassett Healthcare Network, and its entities and affiliates, at the time of this posting or advertisement.
Pay Range Minimum:
USD $21.96/Hr.
Pay Range Maximum:
USD $32.95/Hr.
