Associate, Operations & Maintenance (Site Admin Support)
Job Description
1. Administrative & Documentation Support
Maintain and organize site records, contracts, permits, and compliance documents
Monitor validity of permits, licenses, and government clearances
Prepare transmittals, letters, reports, and internal memos
Ensure proper document control and filing (hardcopy and digital)
Assist in preparation of monthly operational and compliance reports
2. Procurement & Finance Coordination
Prepare purchase requests (PRs) and coordinate with Procurement and Finance
Track delivery of materials, consumables, and spare parts
Monitor petty cash and site expense liquidation
Assist in invoice processing and contractor billing coordination
3. Compliance & Government Liaison
Coordinate with LGUs, DENR, ERC, DOE, and other agencies for required submissions
Assist in monitoring Real Property Tax (RPT), permits, and regulatory filings
Support environmental and safety documentation requirements
Assist Pollution Control Officer (PCO) and Safety Officer in documentation
4. Site Operations Support
Maintain attendance records and assist in manpower scheduling documentation
Coordinate visitor access and maintain visitor logbook
Support logistics for meetings, audits, inspections, and site visits
Coordinate with security and groundkeeping staff for site-related concerns
5. Contractor & Stakeholder Coordination
Assist in onboarding documentation of contractors
Track service agreements and expiry dates
Maintain contact directory of key stakeholders (utility, NGCP, contractors, suppliers)
Support coordination for inspections and external audits
6. Reporting & Data Management
Consolidate operational data as needed for management reporting
Maintain inventory records of office and site consumables
Track and update compliance monitoring sheets
