What you’ll be doing

We are seeking a highly proactive, dynamic, and ownership-driven Executive Assistant to provide comprehensive administrative and strategic support to the Chief Financial Officer (CFO) and Chief Strategy Officer (CSO).

This role goes beyond traditional administrative support. The successful candidate will act as a trusted partner, anticipating needs, driving outcomes, and enabling senior leaders to operate at maximum effectiveness. The individual will thrive in a fast-paced, multinational environment and demonstrate a strong ability to take initiative, prioritize independently, and deliver with excellence.

 

The role will also be responsible for:

 

Executive & Administrative Support

  • Own and optimize complex executive calendars, ensuring effective prioritisation and alignment with strategic objectives.

  • Proactively coordinate and manage meetings across multiple time zones, anticipating conflicts and resolving them ahead of time.

  • Prepare, review, and refine high-quality correspondence, reports, and executive presentations with minimal supervision.

  • Take full ownership of end-to-end travel planning, ensuring efficiency, cost-effectiveness, and seamless execution.

  • Manage expense reporting, procurement requests, and financial coordination, ensuring accuracy and compliance.

  • Act as a gatekeeper and facilitator, ensuring focus on high-value priorities and effective time utilization.

Strategic & Business Support

  • Anticipate executive needs and proactively prepare materials, insights, and briefings ahead of key meetings and decisions.

  • Drive follow-ups on strategic initiatives by tracking deliverables, challenging deadlines where needed, and ensuring execution.

  • Conduct research and analysis on financial performance, market trends, and strategic initiatives to support decision-making.

  • Support cross-functional initiatives by connecting stakeholders, driving alignment, and removing blockers.

  • Act as a central point of coordination across teams, ensuring clarity, accountability, and momentum.

Operational Excellence & Office Management

  • Demonstrate full ownership of administrative processes, continuously identifying opportunities to improve efficiency and effectiveness.

  • Maintain strict confidentiality while managing sensitive and strategic information.

  • Ensure robust record-keeping and document management, enabling quick access and accuracy.

  • Proactively identify issues, propose solutions, and implement improvements without waiting for direction.

  • Contribute to building a high-performance, collaborative culture through professionalism and initiative.

What you bring to the team 

We’re looking for a team player, who is motivated by delivering great work and the Hitachi vision. The role will be a mixture of remote-hybrid work with 3 days in the Hitachi Office.

The office location is Hitachi Europe Ltd, Botanica Ditton Park, Riding Court Road, Datchet, SL3 9LL

Essential:

  • Fluency in English (written and spoken).

  • Proven experience supporting senior executives in a fast-paced, international environment.

  • Exceptional organisational skills with the ability to manage multiple priorities and deliver under pressure.

  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, Zoom).

  • Demonstrated ability to work independently, exercise judgement, and take ownership of outcomes.
