Job Description
MAIN PURPOSE
The Regional Commercial Executive acts as an interface between the Regional Brand Director, the Operational Marketing team, supports departments and the markets. He/she ensures the smooth flow of sales operations, orders processing, shipment, stock quota management and pricing between the markets and the Brand Holders.
KEY RESPONSIBILITIES
- Ensure smooth and timely order processing and shipment
- Ensure timely orders submission and release confirmation by customers
- Check order quantities, reference numbers and prices of the orders
- Maximize orders fill rate by securing quota and fresh stocks. Provide recommendation to customers on substitute references for out of stock items
- Transmit the orders to Customer Service after validation and follow up to ensure timely invoicing of orders
- Track and update back orders
- Follow up on timely payment for prepayment customers
- Summarise and update master orders tracking file by customer
- Assist customers in credit note related issues
- Notify Finance and Regional Sales Director on account and order block
- Ensure the reliability of customer information entered in SAP
- Set up new customer account in system workflow with relevant stakeholders
Manage order forecasts
- Analyse the quantities ordered per customer in accordance with previous year and current year budget
- Ensure timely purchase forecast submission by customers
- Support management with risk assessments in purchase forecast accuracy
- Track and ensure quota consumption for all customers to minimize excess and obsolescence charge
- Run and validate forecast wave submission by customers to support Marketing team
- Monitor promotion stock needs, quota and re-adjust forecasts in cooperation with the other markets (transfer of quantities) if necessary
Prepare and maintain prices
- Ensure smooth implementation of BPI’s price policy
- Prepare pricing template for senior management’s review and approval. Upload approved prices in SAP before order processing
- Adjust set prices in accordance with the margin negotiated for each customer
- Validate the prices per customer with the Regional Sales Director
- Send new prices to the customers and confirm implementation date
Consolidate timely monthly sales reports
- Ensure timely market submission of sell in and retail sales reports from markets
- Check and make sure all markets fill in the data accurately and completely
Contribute to marketing plan implementation
- Arrange shipment of lab samples, preseries, PR kits and marketing tools to the markets
- Arrange shipment of products to office for sponsorship and gifting
- Coordinate guest attendance and registration for marketing seminars
Coordinate product registration requirement
- Coordinate product registration requirement with customers and brand holder Regulatory teams to facilitate shipments
REQUIREMENTS
- At least 5 years experience as a sales coordinator/administrator or similar role
- Confident and approachable who strives in delivering excellence for Customer Service
- Highly organisational skills, detail-oriented and ability to manage several projects and meet deadlines
- Ability to priortise own workload
- Strong communication skills
- Well versed in IT skills – Microsoft Excel (intermediate), SAP system
- Data analytics experience is a bonus
