MAIN DUTIES: 

 

The People Operations Coordinator supports the People Operations department with all administrative and operational duties. The People Operations Coordinator is the first point of contact for team member questions and handles each one with professionalism and care while also contributing to critical People Operations areas like benefits administration, system, and data management, continuous process improvement, and delivering solutions that elevate the team member experience.  

 

GENERAL DUTIES: 

 

  • Performs and streamlines administrative duties of a diversified nature. 

  • Receives and screens phone calls, takes accurate messages and handles situations therein. 

  • Opens, screens and distributes incoming correspondence and attaches back-up information when possible. 

  • Coordinate the timely delivery of Baby gifts, bereavement, and get well gifts. 

  • Assist with initiating background checks. 

  • Schedules candidates qualified by People Operations for interviews with the General Manager and other Executive Committee members. 

  • Assists DOPO with all tools and supplies needed for successful execution of all People Operation related activities. 

  • Assists in the administration of the 1 Token Program 

  • Time clock enrollment for new employees. 

  • Create and maintain new hire and personnel files and enter them into People Operations Information Systems. 

  • Enter employee deductions into payroll system. 

  • Maintain confidentiality of proprietary information. 

  • Follow all company and safety and security policies and procedures; report accidents, injuries, and unsafe work conditions to manager. 

  • Inform People Operations management of issues related to employee relations. 

  • Respond to questions, requests, and concerns from employees and management regarding company and People Operations programs, policies and guidelines. 

  • On-boards new hires and updates relevant documents in their electronic file. 

  • Process and handle benefits enrollment and eligible 401(k) participants, etc. 

  • On a monthly basis distributes and tracks performance reviews for all employees. 

  • Screens and routes incoming resumes to the Hiring Manager. 

  • Maintains locker assignment listings.  Cleans out lockers of terminated employees; returns uniforms to the Laundry Department and personal belongings to Security.  Assist Security Department in locker inspections. 

  • Assists Training Manager and Recruiting Manager in special projects as needed and requested. 

  • Assists recruiting efforts in the form of job fair assistance relating to copying, reserving room and needed collateral, i.e., laptop, screen, PSAV department, making phone calls, preparation for job fair sign in and more. 

  • Assist Recruiting Manager in job posting and onboarding coordination of J1 hires and all new hires.  

  • Coordinate new hires with Recruiting Manager and Training Manager to have advance notice of all attendees 2 weeks  + in advance 

  • Posts prevalent employee information, reminders, and recognition on Share regularly. 

  • Other duties and responsibilities as assigned by the Director of People Operations or the People Operations leadership. 

  • Update the training matrix. Updating new hires and terminations. 

  • Entering volunteer hours and training hours in the payroll system. 

  • Maintain confidentiality of proprietary information.

QUALIFICATIONS & SKILLS: 

 

  • Are organized and proficient at multitasking 

  • Demonstrates self-confidence, high levels of energy, enthusiasm and motivation through actions. 

  • Ability to multi-task, prioritize and work in a fast paced environment. 

  • Ability to manage time well, meet imposed deadlines and be flexible.

  • Strong, positive and energized professional presence. 

  • Thorough understanding of compliance for all aspects of People Operations, including but not limited to labor laws, posting  requirements and documents, 

  •  Ability to maintain composure in stressful situations. 

  • Proficient in verbal and written English communication 

  • Computer literate: advanced knowledge of personal computers and various software. 

  • Professional & appropriate business appearance and demeanor aligned with the 1 Hotel brand and culture. 

 

 

 

Due to the nature of the hospitality industry, employees are required to work varying schedules, including holidays, to accommodate the business and demands of the hotel
