The Patient Access Representative I (PAR I) is primarily responsible for scheduling ultrasound and X-ray appointments. This role provides courteous and professional assistance to patients and physician offices during the scheduling and registration process for diagnostic imaging procedures. Key responsibilities include gathering and verifying accurate demographic, insurance, and billing information; scheduling appointments; entering imaging orders; and ensuring all related tasks are completed efficiently and in a timely manner. PAR I plays a critical role in supporting a positive patient experience and ensuring seamless coordination between patients, families, and healthcare providers.

Essential Duties and Responsibilities:
Champion the Lumexa Way in daily activities
Ensures accuracy of patient data entered into the electronic medical record system
Schedules and confirms ultrasound (US) and X-ray (XR) appointments Enters all appointment dates and times into the computerized scheduling system.
Employees hired before October 2026 may still be required to enter orders for all imaging modalities if needed.

“Communicates to patient or patient representative any financial responsibility
Explains exams/procedures, preparation instructions and location directions to patients and provider office staff
Acts as a liaison for center operations and centralized authorizations department (i.e., CAD, etc.) as a supportive partner for centralized services
Contacts referring provider offices to obtain exam orders if necessary
Handles patient and provider calls (inbound and outbound) via telephone softphone application in a courteous and helpful manner.
Calmly handles patient experience and customer service issues, escalating to leadership when appropriate
Other duties as assigned per business need
Minimum Qualifications:
Education and Experience:
High school diploma or equivalent
1-3+ years related health care scheduling for multiple locations, medical terminology, physician billing and/or medical reception/medical office experience preferred.
Call center or phone experience preferred.
Previous customer service background required.
Experience working with a computerized scheduling system preferred.
Bilingual preferred
Knowledge and Skills:
Ability to meet and/or exceed performance metrics
Knowledge of and adherence to company policies and protocols
Knowledge of and adherence to HIPAA and safety guidelines
Knowledge of basic level computer skills
Skill in organizing and prioritizing work and following assignments through to completion
Skill in written and verbal communication
Ability to work independently and in a team environment
Ability to work in a fast-paced environment and meet established deadlines
Ability to be flexible in schedule and adaptable to constant change
Ability to effectively handle details with accuracy
Ability to maintain regular attendance and on-time approval to work as scheduled

Ability to resolve service recovery issues and understand when to escalate to the next level
Ability to remain calm in difficult situations
Requirements to advance from PAR 1 to PAR 2:
Completed and passed the training competency check
Completed and passed the Supervisor-led knowledge assessment
Consistently meets Tier 2 performance metrics (CSAT over 90% and AHT under 5 minutes)
Not on a Final Written Warning or PIP
Comfortable with scheduling/entering Arthrogram/Barium Swallow appointments
Experts in scheduling all imaging modalities
