American Track, a North American Rail Solutions (NARS) company is seeking a highly organized and detail-oriented Supply Chain Coordinator to provide administrative, procurement, and vendor-support functions across the organization. This role supports the VP of Supply Chain by coordinating purchasing activities, maintaining asset and procurement documentation, assisting with reporting, and ensuring accurate data management. The Supply Chain Coordinator works closely with Operations, Finance, Fleet, and vendors to support efficient supply chain processes and ensure timely and accurate flow of materials and information.
MAJOR RESPONSIBILITIES• Support procurement activities by preparing purchase orders, collecting quotes, coordinating approvals, and maintaining purchasing records. • Assist with asset administration, including tracking acquisitions, updating asset files, and supporting lifecycle documentation. • Coordinate vendor documentation such as contracts, W-9s, insurance certificates, and compliance requirements. • Maintain supply chain data accuracy within ERP and procurement systems, including item master updates, pricing changes, and supplier information. • Prepare supply chain reports, including spend summaries, vendor performance metrics, and asset-related administrative reports. • Support invoice reconciliation by matching purchase orders, resolving discrepancies, and coordinating with Accounting. • Assist with cost-control efforts by monitoring spend categories, identifying variances, and supporting budget tracking. • Coordinate logistics and deliveries, including shipment tracking, delivery scheduling, and communication with field teams.• Support compliance and audit readiness by maintaining procurement records, vendor certifications, and asset documentation. • Assist with process standardization for new locations, acquisitions, and system implementations.• Perform all other duties as assigned.
REQUIREMENTS Education Required:• High School Diploma or equivalency required• Associate’s or Bachelor’s degree in Supply Chain, Business Administration, Finance, or related field preferredWork Experience Required:• 1-3 years of experience I supply chain, procurement, logistics, or administrative coordination• Experience with ERP, purchasing systems, or vendor management preferredSkills & Knowledge Required:• Strong organizational skills and attention to detail• Excellent verbal and written communication skills• Ability to manage multiple priorities and meet deadlines• Proficiency in MO Suites; experience with ERP or procurement systems preferred • Strong analytical and problem-solving abilities • Ability to work collaboratively with cross-functional teams• Professionalism, discretion, and strong customer-service orientation
