The Role
The Data & Content Operation Specialist is responsible for collecting, organizing, validating, and continuously updating external education data required by the Crimson App. This role ensures that university profiles, program information, application requirements, essay prompts, competitions, summer programs, and other data on the platform remain accurate, complete, and traceable — providing a reliable data foundation for product features, student planning, and advisor services.
This is not a simple data entry role, it is a foundational contributor to the Crimson App's external education data ecosystem. The ideal candidate can assess source credibility, evaluate which data fields are meaningful to the product, and transform complex education information into maintainable, searchable, and product-ready structured data.
What are the main responsibilities for this role?
Collect and maintain external education data for the Crimson App, including but not limited to:
— University profiles, rankings, locations, and admission requirements
— Major/program information, course directions, school/college affiliations, and application restrictions
— Application deadlines, admission rounds, and required materials
— Essay prompts from Common App, Coalition App, and institution-specific portals
— Competition database: timelines, eligibility criteria, prestige level, and registration details
— Summer program database: program dates, costs, admission criteria, and application deadlinesResearch and retrieve information from official sources including university websites, admissions pages, official PDFs, Common App, competition websites, and summer program portals; document all data sources for traceability.
Structure and format collected data according to internal templates and field specifications, ensuring consistent formatting and system-ready imports.
Regularly review and update high-frequency-change data such as deadlines, essay prompts, program availability, and competition registration windows.
Flag conflicting, incomplete, or unverifiable information and coordinate with product, advisor, data, or content teams for resolution.
Help establish data collection workflows including source prioritization, update schedules, validation rules, change logs, and quality control mechanisms.
Support the product team in expanding data coverage to new categories or fields based on evolving business needs.
What skills and experience are required?
Strong English reading proficiency; able to efficiently navigate university websites, admissions pages, program descriptions, and official documentation.
Strong research, synthesis, and cross-verification skills.
Detail-oriented with a high sensitivity to data accuracy, format consistency, and source reliability.
Proficient in data management tools such as Excel, Google Sheets, Notion, and/or Airtable.
Able to execute repetitive yet precision-demanding data maintenance tasks following standardized workflows.
Good communication skills; able to clearly document issues, flag uncertainties, and follow through to resolution.
Basic familiarity with overseas undergraduate admissions, the US university system, Common App, competitions, or summer programs is a plus.
Bonus Qualifications
Prior experience in the education industry, study abroad consulting, content operations, or data operations.
Familiarity with university application systems in the US, UK, Canada, Australia, or other major study-abroad destinations.
Experience with database maintenance, CMS data entry, data cleaning, or QA processes.
Ability to use basic data tools or scripts to improve collection efficiency.
Familiarity with the Crimson App's target user scenarios — including school selection, major exploration, activity planning, and application timelines.
