JOB DESCRIPTION:

The Operations Admin will serve as a force multiplier for TPA's reporting team and the organization at large. This role is responsible for automating data workflows, streamlining internal processes, and driving the adoption of AI tools across every department. The ideal candidate is someone who sees a manual, repetitive process and immediately starts thinking about how to eliminate it—and has the technical skill to actually build the solution.

This position will work directly with voter data, territory maps, dashboards, CRM pipelines, and field activity metrics to make our reporting faster, more accurate, and more actionable. Beyond the reporting team, you'll partner with departments across the organization to identify opportunities where AI and automation can save time, reduce errors, and improve decision-making.

KEY RESPONSIBILITIES:

  • Serve as the organization's internal AI lead, working with each department to identify high-impact use cases for AI tools
  • Build custom workflows using AI APIs and platforms to accelerate research, summarization, and decision support for leadership
  • Automate recurring reporting tasks (weekly state reports, voter registration tracking, activity dashboards) to reduce manual effort and turnaround time
  • Build integrations between platforms (Airtable, Google Sheets, Streak, internal databases, etc.) to eliminate redundant data entry and sync issues
  • Train staff across departments on effective use of AI tools, establishing best practices and internal guidelines
  • Partner with the reporting team to improve dashboards, territory maps, and performance tracking for field operations nationwide
  • Develop tools and scripts to clean, transform, and visualize voter data for strategic planning
  • Audit existing workflows across departments to identify bottlenecks, manual processes, and automation opportunities
  • Document and maintain all automations, integrations, and AI tools for organizational continuity
  • Stay current on emerging AI and automation technologies and recommend new tools or approaches that could benefit TPA's operations
  • Travel up to 20%

MINIMUM QUALIFICATIONS:

  • 2+ years of experience in data automation, business process automation, or a related technical role
  • Working knowledge of SQL, as well as Python or another scripting language for building custom automations and data pipelines
  • Experience working with CRM systems, databases, and data visualization tools
  • Hands-on experience with AI tools and APIs (OpenAI, Anthropic, etc.) — not just as a user, but building workflows around them
  • Ability to communicate technical concepts clearly to non-technical team members
  • Strong problem-solving ability and a bias toward building solutions rather than waiting for direction
  • Exceptional attention to detail and a commitment to accuracy
  • Highly organized with the ability to manage multiple deadlines in a fast-paced environment
  • Demonstrated confidentiality, professionalism and discretion
  • Strong alignment with the organization’s mission
  • Self-starter with a growth mindset and a strong desire to learn

“WOW!” SKILLS:

  • Experience with political data, voter files, or campaign operations
  • Experience with GIS tools, mapping software, or geospatial data
  • Experience training teams on new tools and driving adoption across an organization

WHAT SUCCESS LOOKS LIKE:

  • Within the first 30 days, you've audited current reporting workflows and identified the top 5 automation opportunities
  • Within 60 days, the first automated data pipelines are live and reducing manual reporting time
  • Within 90 days, at least two departments outside of reporting are actively using AI tools or automations you've implemented
  • The reporting team spends less time pulling data and more time analyzing it
  • Staff across the organization view AI as a practical tool because you've shown them what it can actually do
