Position Summary
Thompson Truck Group (TTG) is seeking an experienced Warranty Manager to support our Service operations in multiple locations. This role is responsible for ensuring warranty claims are prepared, submitted, and reconciled accurately and in compliance with OEM and vendor requirements.
This position plays a key role in protecting dealership revenue, supporting Service Managers and technicians, and maintaining strong manufacturer relationships.
Essential Duties & Responsibilities
- Prepare, code, and submit OEM and vendor warranty claims accurately and timely
- Ensure compliance with all manufacturer and supplier warranty policies and documentation requirements
- Verify that claim amounts meet manufacturer and supplier criteria
- Identify and manage exceptional or non-standard warranty cases, including special agreements
- Review late, denied, or irregular claims and resubmit with proper documentation when applicable
- Analyze warranty rejections and chargebacks; post credits and adjustments timely
- Reconcile warranty receivables and payments weekly according to the accounting schedule
- Follow up on outstanding warranty claims, ensuring payment within 60 days
- Notify customers promptly when chargebacks reflect non-warrantable failures
- Ensure warrantable repairs are fully documented with accurate technician comments and labor times
- Coordinate return of defective parts to manufacturers or suppliers
- Stay current on warranty policy changes, recalls, and manufacturer bulletins
- Provide warranty guidance and updates to service staff and technicians
- Maintain required warranty service records per manufacturer guidelines
- Assist with service department phone calls as needed
- Maintain a professional appearance and conduct
- Perform other duties as assigned by management
- Maintain warranty rejection rates below 1% of total department gross profit
Qualifications
- Previous experience in warranty administration, service operations, or OEM processes
- Strong working knowledge of OEM warranty policies and procedures
- Excellent attention to detail and organizational skills
- Ability to analyze claims, resolve discrepancies, and meet deadlines
- Strong communication and teamwork skills
- Dealership or heavy-duty truck industry experience preferred
