Employee Services Coordinator 

Full-Time

Hartland, NB (Hybrid)

 

Reporting to the Manager, Employee Services, this role is responsible for maintaining accurate employee data and supporting the employee lifecycle across HR systems. The position ensures timely processing of employment changes, partners with payroll and HR teams to support operations, and serves as a key point of contact for employee inquiries while helping to drive efficient, high-quality HR service delivery.

 

How You'll Help:

  • Manage the employee lifecycle in all associated systems
  • Review, authenticate, and execute status changes, wage increases, position changes, new hires and terminations, complete I-9s, and employee data change maintenance.
  • Review and ensure termination processes are being followed in all systems, term forms completed and filed, and updates necessary parties
  • Flexes workload to support colleagues in high-demand and peak times, including support with onboarding (background checks, paperwork completion/providing assistance, responding to questions) as necessary.
  • Collaborates with payroll to ensure various required deductions, direct deposit and tax forms are processed accurately & timely
  • Support HR team to accurately track absences, vacation and paid personal days for Employees
  • Ensure HR System is accurately reflecting organizational structure (positions, departments, hierarchy)
  • Support Company Culture initiatives, including engagement activities (anniversaries, recognition awards, company events), employee support, and continuous improvement
  • Triage incoming employee questions, concerns or issues and provide support when possible or depending on severity, direct to appropriate team or leadership to handle
  • Work closely with COE, other Functional leaders and field HR resources to provide support tracking through processes and reporting as necessary
  • Review system for data quality standards and controls to provide the necessary accuracy, timeliness, and completeness in all output; execute updates as needed
  • Actioning assigned items as they come into shared inbox
  • Other duties as may be required

 

Your Skills & Experience:

  • Post-secondary education, preferably in Business Administration; Human Resources, another related program may also be considered
  • 2-3 years experience in a functional HR support role, with a basic understanding of Payroll, Human Resources, considered an asset.
  • Intermediate knowledge of MS Office and the aptitude to quickly learn new systems
  • Excellent oral and written communication skills
  • Strong organizational and time management skills, including the ability to work under pressure in a fast-paced setting
  • Ability to multitask and prioritize in a deadline driven environment; appropriate sense of urgency
  • Maintain a high degree of confidentiality
