Job Description

We are looking for an experienced and detail-oriented Office Manager to lead our administrative operations while also providing support in accounting and human resources (HR) functions for our beautiful office in Hanoi, Vietnam. This role requires a strong foundation in office management combined with hands-on knowledge of bookkeeping and HR practices.

Key Responsibilities

  • Oversee the smooth operation of daily office activities and administrative workflows

  • Manage office supply inventory, vendor relationships, and facility maintenance

  • Maintain and organize digital and physical filing systems for finance, HR, and general administration

  • Support the finance team by handling routine bookkeeping tasks, including invoice processing, expense tracking, petty cash reconciliation, and purchase order documentation

  • Coordinate with the accounting department or external accountants to assist with month-end closings, payroll input, and financial reporting

  • Assist HR with recruitment logistics, onboarding/offboarding, timekeeping, benefits coordination, and maintaining employee records

  • Ensure compliance with employment laws, safety regulations, and internal policies

  • Support company-wide initiatives, internal communications, and event planning

  • Supervise and mentor junior administrative staff

  • Serve as a liaison between departments and upper management for operational needs


Requirements

Minimum:

  • Bachelor’s degree in Business Administration, HR, Accounting or related field

  • 5+ years of office management or administrative experience

  • Familiar with leading company events and activities

  • Working knowledge of accounting practices and HR procedures

  • Strong organizational, time management, and interpersonal skills

  • Ability to handle confidential information with discretion

  • Reliable, solution-oriented, adaptable to a fast-paced environment

  • Proficient with Microsoft Office

  • Good English communication, both verbal and written

Will be advanced if you have:

  • Extensive experience in Recruitment, Accounting and Human Resources practices
