Purpose

Responsible for assisting with planning, developing, and facilitating large meetings, events, and conferences for the UT Social Work Office of Professional Development “OPD”.

This position is funded by contracts and is contingent on contract renewal. It is expected but not guaranteed to be renewed beyond 12/31/27.

Responsibilities:

  • Assist with event setup and manage registration processes using Cvent, Event Farm, Seminar Web, and other conference management platforms. Coordinate with the Senior Administrative Program Coordinator to develop event websites and oversee registration activities. Respond to registrant inquiries via email and phone.

  • Support the coordination of events by working with planning committees, speakers, hotels, and vendors. Collaborate with the Office of Professional Development (OPD) team and stakeholders to plan and execute events. Coordinate speaker participation, including preparation and distribution of speaker agreements. Liaise with hotels and vendors to arrange catering, room setup, and other on-site logistics, and ensure timely processing of orders and billing.

  • Assist in the coordination of virtual events and manage on-site registration and logistics for in-person events. Troubleshoot issues as they arise and collaborate with the Director, Senior Administrative Program Coordinator, and planning teams to ensure successful event execution.

  • Prepare reports and identify opportunities for process improvement. Develop and coordinate event communications and promotional materials. Assist in the collection and analysis of evaluation data within established timelines. Maintain records, files, databases, and statistical information related to conferences and events.

  • Prepares financial reports and billing for state contracts. 

  • Provide administrative and operational support to the Director of the Office of Professional Development. Complete special projects and perform other duties as assigned.

Required Qualifications:

  • Bachelor’s degree in a related field (relevant education and experience may be substituted as appropriate).

  • Professional demeanor with a strong commitment to customer service.

  • Demonstrated ability to communicate effectively and professionally, both verbally and in writing.

  • Strong attention to detail and accuracy.

  • Experience coordinating or administering programs or events.

  • Experience developing, editing, and proofreading marketing and promotional materials.

  • Five or more years of clerical or administrative experience, including at least two years coordinating events.

  • Demonstrated ability to prioritize tasks and manage competing demands in a fast-paced environment without sacrificing accuracy.

  • Proficiency with Microsoft Office Suite, Cvent, Zoom, and other virtual event platforms.

  • Working knowledge of Adobe Creative Cloud.

  • Demonstrated ability to work effectively with faculty, staff, students, and community partners.

  • Proven ability to collaborate as part of a team while managing multiple priorities and deadlines.

  • Ability to take initiative and work independently.

  • Excellent organizational, time management, and project management skills.

Preferred Qualifications:

  • Experience working at the University of Texas at Austin, including familiarity with university financial and administrative systems.

  • Background or experience in hospitality management or event services.

Salary Range

$40,000+ depending on qualifications

Working Conditions:

  • Occasional travel may be required.

  • Extended or non-standard work hours may be required to support events and program needs.

  • This position is primarily in-office; eligibility for remote work may be considered after six months of continuous employment, in consultation with the supervisor.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
