Job Description Summary
The Student Services Manager provides strategic leadership for the development, delivery, and continuous improvement of undergraduate and graduate programs in the Department of Geography. The Department offers a broad suite of programs spanning the Faculties of Arts and Science, including the BSc Major in Geographical Sciences, BA Major in Human Geography, BA Major in Environment and Sustainability, BA Major in Urban Studies, Minor in Human Geography, Minor in Environment and Sustainability, Minor in Urban Studies, Minor Geographical Info Science and Geographic Computation (GIS&GC), Certificate in Climate Studies and Action, and MA, MSc, and PhD degrees.
The role supports a large and complex student population, including over 500 undergraduate majors, 200 minors, 80 certificate students, and approximately 5,700 undergraduate course enrolments across 75 sections. The graduate program comprises roughly 100 master’s and doctoral students.
This position leads key student services functions such as program planning, admissions evaluation, outreach and recruitment initiatives, and academic advising that fosters student success, retention, and career development. The Manager acts as a central liaison with internal and external partners to ensure coordinated service delivery.
In addition, the role oversees staff supervision, teaching assistant appointments, student awards, budgets, and departmental events, ensuring efficient operations and alignment with institutional priorities and policies.
Organizational Status
Reports to the Administrator. The incumbent works independently, with initiative and considerable autonomy. Takes direction from the Head and Associate Heads.
Work Performed
Program Leadership & Strategy
- Leads planning, delivery, and continuous improvement of undergraduate and graduate programs, including recruitment, admissions, and advising.
- Provides strategic analysis and recommendations on enrolment management, curriculum delivery, course scheduling, and student services.
- Co-chairs undergraduate committees and advises the graduate committee.
Academic Advising
- Manages undergraduate and graduate admissions, including holistic evaluation of applicants and enrolment planning.
- Provides expert academic advising on degree requirements, progression, and career pathways.
- Assesses transfer credit, program eligibility, course registration, and graduation requirements.
- Advises students on academic and personal challenges; connects students with campus supports and services.
- Supports student success, retention, and progression through proactive outreach and case management.
Scheduling & Registration
- Oversees course registration, program approvals, and record accuracy (e.g., standing, credits, progression).
- Monitors enrolments, waitlists, and course capacities; adjusts restrictions to support access and program needs.
- Conducts student progress reviews and ensures compliance with continuation requirements.
- Leads course scheduling, exam coordination, and instructor support in alignment with Faculty and University policies.
- Provides guidance on grading practices, academic regulations, and instructional procedures.
Operational Management
- Oversees day-to-day student services operations, including supervising staff, assigning work, and managing priorities.
- Manages teaching assistant appointments, workload allocation, contracts, and payroll in accordance with collective agreements.
- Administers funding, awards, and operating budgets.
Outreach, Recruitment & Communications
- Develops and delivers recruitment, outreach, and promotional initiatives (e.g., events, presentations, partnerships).
- Oversees program communications, including website content, advising materials, and calendar updates.
- Acts as liaison with students, faculty, alumni, and external partners, including the Geography Students’ Association and Geography Graduate Association.
Program Development & Reporting
- Conducts analysis and prepares reports on admissions, enrolment trends, advising, and program performance.
- Oversees curriculum updates and academic misconduct.
- Leads development of policies, procedures, and program materials to support program excellence and growth.
- Supports grant applications and initiatives related to teaching, learning, and student experience.
- Performs coverage and other related duties as required.
Consequence of Error/Judgement
The incumbent exercises considerable judgment and must demonstrate tact and discretion. This position interacts directly with students, faculty, CUPE 2278 representatives, and the academic community on issues concerning registration, graduation, program promotion, job appointments, application, awards and funding. Directly affects the reputation of the department and university. Incorrect or inappropriate decisions may jeopardize student's academic programs, the quality of a student's experience, Department's funding, as well as reflect negatively on the reputation of the program and university.
Supervision Received
Works independently under the general direction of the Administrator.
Supervision Given
Supervises the work of support staff and student workers performing student services-related activities.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications
- Master's degree preferred.
- Experience in post-secondary advising or counselling and administration (UBC experience preferred).
- Thorough knowledge of UBC admission policies, graduate and undergraduate programs, and Faculty of Graduate Studies and University policies.
- Exceptional interpersonal skills (creative, diplomatic, inter-culturally sensitive, patient, tactful, etc.).
- Demonstrated experience with a diverse student population and work environment.
