Flight Representative Manager
Job Description
The Flight Representative will be responsible for the end-to-end delivery of all flight representation services in Madrid, ensuring seamless coordination and premium service standards for passengers, crew, and operational partners.
This is a hands-on operational role requiring flexibility, excellent communication skills, and the ability to manage multiple priorities while maintaining the highest standards of professionalism and discretion.
Key Responsibilities
• Manage and oversee assigned flight movements in Madrid
• Act as the primary point of contact for passengers, crew, FBOs, and handling agents
• Deliver exceptional service to HNW and UHNW clientele
• Coordinate passenger arrivals, departures, baggage handling, and aircraft turnaround
• Resolve operational issues quickly and efficiently in real time
• Build and maintain strong relationships with airport stakeholders, FBOs, and operational partners
• Maintain close communication with the ACS operations team on all Madrid flight activity
• Provide real-time updates on delays, schedule changes, or operational issues
• Submit post-flight operational feedback and reporting
• Maintain accurate tracking of all Madrid flight representation activity
• Manage personal schedule in line with operational requirements
• Remain flexible and available across varying hours, including weekends and holidays
• Maintain exceptional personal presentation and professionalism
• Operate with complete discretion and confidentiality
• Support the development of the Madrid and wider Spain flight representation network
Skills & Experience Required
Essential:
- Fluent in both Spanish and English
- Experience working with HNW/UHNW clients
- Strong organisational and time management skills
- Excellent communication and interpersonal abilities
- Calm and solutions-focused under pressure
- Flexible and adaptable mindset
- Ability to work independently and take ownership of responsibilities
Preferred:
- Previous experience in aviation, airport operations, FBOs, private aviation, VIP services, or luxury hospitality
- Experience working in operational or client-facing airport environments
Working Pattern
- Flexible, flight-driven schedule
- Includes weekends, evenings, and irregular hours
- Combination of office-based work and airport/FBO operations
