Position Status
This is a permanent fulltime and a backfill position. The role is an active, approved vacancy within the organization and is intended to be filled as part of current staffing needs.
General Description
The Project Coordinator within the Pharmaceutical Development Solutions (PDS) team is esponsible for supporting project management activities, ensuring smaller projects are executed smoothly, and assisting in keeping timelines and budgets on track, for small and large projects. As a Project Coordinator, you will play a vital role in ensuring the efficient operation of projects from initiation to completion by supporting the Project managers.
Key Responsibilities
Project Coordination: Assist in the planning and execution of project tasks, ensuring they align with deadlines and objectives. Managing small projects. Monitor project progress and adjust plans as needed.
Communication: Serve as a liaison between project teams, clients, vendors, and other stakeholders. Ensure clear, consistent, and timely communication.
Scheduling & Logistics: Coordinate production scheduling between the PM team and Planning. Assist with shipments to the client.
Documentation & Reporting: Maintain accurate project documentation, including project plans, timelines, status reports, and meeting notes. Track project milestones and provide regular updates to the project manager.
Budget & Resource Management: Assist with tracking project budgets and expenses, to ensure projects stay on track financially.
Problem Solving: Identify potential project risks or issues and help resolve them promptly. Escalate concerns when necessary to ensure project success.
Support Team: Provide general administrative support to project managers and team members as needed, including facilitating meetings, managing client requests, documentation tracking, and other adhoc tasks.
Experience & Skills
1-3 years of experience in project coordination or related roles with the ability to lead meetings.
Strong organizational skills and attention to detail.
Excellent communication skills (both written and verbal).
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software (e.g., Monday.com).
Ability to multitask and manage competing priorities.
Strong problem-solving skills and a proactive attitude.
Team player with the ability to work effectively with diverse teams and stakeholders, both internal and external.
Education
Bachelor’s degree in science, Project Management, or a related field (preferred).
Certification in project management (e.g., PMP, CAPM) is a plus or plans to work towards the certification.
Working Conditions
Mainly office environment with visits to the production area and warehouse.
Standard 37.5 hour work week.

Compensation Range
$68,000 - $85,000
