Position Overview

The Motor Field Service Administrator keeps the Motor field service operation efficient, accurate, and well documented. Working closely with the Management Team, this team member ensures field jobs are invoiced accurately and on time, coordinates parts and purchasing for field work, supports job scheduling, and maintains the records and reporting that keep the department compliant and audit-ready. Strong communication skills are essential, as the role involves answering incoming calls and responding to customer inquiries with professionalism and efficiency. The ideal candidate is detail-oriented, organized, and capable of managing multiple responsibilities at once.

  • Customer billing and invoicing for motor field service jobs.
  • Parts sourcing, purchasing, and field inventory coordination.
  • Reporting, compliance, and record keeping.
  • Scheduling support, customer service, and administrative support.

Key Responsibilities

  • Provide a high level of service to internal and external customers, answering incoming calls and inquiries professionally and efficiently.
  • Manage work orders and purchase orders from open through ready-to-invoice, ensuring labor, parts, per diem, mileage, and time-clock entries are accurate, documented, and invoiced on time, and support collections on outstanding invoices.
  • Coordinate parts, purchasing, and field scheduling with vendors and technicians to keep jobs supplied and on track, with final technician assignments remaining with the Field Service Manager and Service Coordinator.
  • Enter and maintain accurate job data in the SpringPoint Suite (MotorBase, QM Wizard, and Mobile Paperwork), keeping open job lists, daily reports, signatures, and documentation current.
  • Provide general administrative support, including records and reporting, audit-readiness and SOP compliance, office supplies, meeting coordination, timesheet and PTO support, and special projects.

Qualifications

  • High school diploma or equivalent required; additional business or administrative training preferred.
  • 3–5 years of administrative, clerical, or office support experience, ideally including service billing and invoicing.
  • Experience in an electro-mechanical, motor, or similar shop environment strongly preferred.
  • Demonstrated experience managing work orders, purchase orders, and parts/vendor coordination.
  • Familiarity with CRM and field service software helpful; experience with the SpringPoint Suite (MotorBase, QM Wizard, and/or Mobile Paperwork) a plus.
  • Strong computer skills, including proficiency in Microsoft Office Suite and the ability to quickly learn new software.
  • Working knowledge of AI software platforms such as Claude or ChatGPT a plus.
  • Strong organizational, time-management, and problem-solving abilities with excellent attention to detail.
  • Clear, professional communication and customer service skills; able to communicate effectively with all levels of employees and management.
  • Ability to handle sensitive information with confidentiality.
  • Ability to work independently in a remote/hybrid setting and manage multiple tasks and prioritize effectively.
  • Must possess and maintain a valid state driver’s license and a driving record that qualifies as “insurable” by the company’s insurance company. MVR reviews may be conducted at any time. Must be age 21 or above to drive on behalf of B&C.
  • Able to work 40 hours per week (excluding holidays and PTO) on a regular basis, and available to work additional hours as needed. Overtime is anticipated occasionally.

Physical Requirements

Able to sit or stand for extended periods and occasionally lift and move items up to 25 pounds.

Work Environment

This is a remote/hybrid position based in the Fort Worth, Texas area, combining remote work with periodic time on-site at the B&C service facility, which is a motor service shop environment with electrical and environmental hazards and varying temperatures. The role involves regular interaction with customers, technicians, and management by phone, email, and in person. Some travel may be required.

Growth Path

The Motor Field Service Administrator is a key support role within the Motor Service department. With proven performance and skill development, this role may progress into Service Coordinator, Administrative Specialist, or other administrative positions within the company.
