Job Description

A Day in the Life of a Vendor Support Specialist

As a Vendor Support Specialist, you'll be the go-to contact for our valued vendors, ensuring smooth communication, quick issue resolution, and strong partnerships that drive business success. From onboarding new partners and guiding them through setup to answering inquiries and fostering positive relationships, you'll play a vital role in creating a seamless vendor experience.

Behind the scenes, you'll handle contract management, process payments, and maintain accurate records to keep operations running efficiently. Collaboration with internal teams, such as accounting and operations, will be key as you help maintain compliance with company policies. Responsibilities:

  • Serve as the primary contact for vendor onboarding, compliance, and ongoing support
  • Manage vendor documentation, including MSA, insurance certificates, and surveys, ensuring compliance with First Onsite standards
  • Set up and maintain vendor records in NetSuite and BOLT, tracking application status and follow-ups
  • Review vendor submissions, address non-compliance, and coordinate necessary revisions with internal stakeholders
  • Collaborate with Legal and Risk teams to negotiate and resolve changes to standard agreements
  • Conduct periodic audits and provide timely communication to ensure complete, compliant vendor packets
  • Support reporting and analysis of vendor compliance issues to resolve billing holds efficiently

Experience & Education:

  • Minimum 2 years of data entry experience, preferably in construction or a related industry
  • Proficiency in NetSuite preferred
  • Bilingual preferred
  • High school diploma or GED required
