Job Objective:

Works under the supervision of medical group vice president to ensure efficient and effective physician employment processes and procedures for over 350 physicians. Manages the payroll and accounts payable process for the medical group, as well as enrolling physicians in and coordinating the physician benefit package. Ensures the timely onboarding of physicians to the medical group.

Essential Responsibilities

1. Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations. 2. Manages the payroll process for the medical group, to include: ensures that employees are paid timely and correctly; supervises staff involved in payroll process; develops and ensures consistent application of payroll policies; establishes employees in the payroll system; provides new employees instructions on payroll system access; functions as payroll system super-user for medical group’s payroll system, ADP; works with vendor to configure system for optimized performance for the medical group; ensures that all employee payroll changes (tax withholding changes, 401k changes, etc.) are documented and implemented; ensures payroll taxes are filed in a timely manner; ensures paychecks are delivered in a timely and accurate manner, whether direct deposit or physical checks; investigates and explains discrepancies; evaluates and corrects payroll issues and problems; ensures that garnishments and other wage orders are valid, comply with such orders and remit payment; calculates and writes special checks for shortages, terminations, etc.; works with medical directors and physician employees on the integrated timekeeping system to ensure the system is being used correctly; sets up 401k loan repayments; ensures that salary is properly reflected for medical group employees participating in the group’s profit sharing plan; pulls and archives payroll reports (bi-weekly and quarterly); runs earnings reports and upload same to medical group’s worker’s compensation carrier for accurate premium billing; researches and stays abreast of State and Federal Wage and Hour laws and ensures compliance; coordinates payroll closure with medical group’s accountants; answers physician questions on how their payroll is processed and address any errors or issues. 3. Manages the accounts payable process for the group: ensures that medical group invoices are paid accurately and timely; ensures that reimbursements are paid in a timely manner, and accurately pursuant to group policies for employee reimbursements; supervises the Physician Employment Specialist in the review of invoices and check requests for completeness, in researching incomplete invoices/check requests, and obtaining additional information where required, in the assignment of the proper cost centers and account numbers, in the proper allocation of invoices among cost centers, in the proper and timely release of checks; obtains proper approval for all invoices and check requests; ensures that pre-set expense allowances for physicians (and for EMC Advanced Practice Clinicians) are not exceeded, and that providers know the balance on their allowance; prints checks as required, or works with medical group accountants in printing of checks; obtains appropriate signature on all checks before release; works with accountants to issue 1099’s where appropriate. 4. Manages enrolling physicians in and coordinating the physician benefit package; works closely with outside brokerage consultants and Physician Employment Specialist to assist physicians with enrollment in medical, dental, vision, life, disability, and 401K programs; ensures accuracy of plan enrollments through monitoring of monthly billings; resolves billing discrepancies with vendor; ensures appropriate paperwork is completed for employees enrolling in group’s profit sharing plan; assists physicians with processing changes to benefits enrollment; sets up Health Savings Account (HSA) for physicians who have selected that health plan option; makes deposits to the employee’s HSA each pay period; provides instructions to new employees on accessing benefits coverage via websites; answers questions for physicians on benefit issues, or directs such questions to the appropriate resource. 5. Ensures the timely onboarding of physicians to the medical group; ensures that all documentation required of physician employees is obtained in a timely manner (i.e. W-4, Bonus treatment, Direct deposit paperwork, I-9, 401k enrollment paperwork, Insurance enrollment paperwork); coordinates onboarding meetings with new employee and appropriate EMC staff (marketing, risk management, etc.) and vendors (401k and benefits consultant); ensures new employees receive legally required notices and disclosures (e.g. disability notice, employee handbook, etc.) 6. Supervises all assigned staff to include hiring, orienting, training, evaluating and coaching; escalates employee performance concerns to leadership and provides documentation for counseling and performance improvement plans (PIPs) as necessary. 7. Proposes, analyzes, and recommends new workflows, software, and other resources used to perform essential duties. 8. Performs other duties as assigned.
