Human Resources Administrative Assistant

Overview

This individual will report to the Managing Director, Head of HR and will contribute to talent acquisition, employee engagement, and people initiatives in Canaccord Genuity’s U.S. offices. The HR Administrative Assistant plays a crucial role in supporting the human resources department by managing administrative tasks that ensure smooth and efficient HR operations. Ultimately, this position contributes to creating an organized and responsive HR environment that supports employee satisfaction and operational excellence.


This role is based out of our New York office with a hybrid schedule (WFH Mondays & Fridays).

 

Essential Job Functions

  • Executive & Team Support
    • Manage calendars for the Head of HR and broader HR team, including scheduling, prioritization, and conflict resolution.
    • Coordinate meetings, prepare agendas, and track action items to ensure effective follow-through.
  • Invoice & Vendor Management
    • Process, review, and reconcile HR-related invoices with a high degree of accuracy and timeliness.
    • Partner with Finance to ensure proper coding, approvals, and payment of vendor invoices.
    • Maintain vendor records and assist with contract tracking as needed.
  • Recruiting & Onboarding Support
    • Coordinate interview scheduling across multiple stakeholders.
    • Assist in drafting and formatting job descriptions and postings.
    • Support onboarding logistics, including background checks, new hire documentation, and orientation coordination to ensure a smooth candidate experience.
  • Employee Experience & Engagement
    • Assist in planning and executing employee engagement initiatives, including recognition programs, wellness campaigns, and milestone celebrations.
    • Support internal communications related to HR programs and employee events.
  • Project & Process Support
    • Contribute to HR projects and initiatives, such as system implementations, process improvements, and policy updates.
    • Identify opportunities for increased efficiency and support continuous improvement efforts within HR operations.


Required Qualifications

  • 0-2 years of administrative or HR experience
  • Proven experience in invoice processing or accounts payable functions
  • Basic knowledge of Microsoft Office Suite software
  • Strong organizational skills with attention to detail and accuracy
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Excellent communication skills, both written and verbal

 

Preferred Qualifications:

  • Experience working in a human resources department or supporting HR functions
  • Familiarity with ADP Workforce Now
  • Experience in financial services industry
