About the Role
The Specialist will support the effective stewardship of Haleon’s global patent portfolio by ensuring high standards of data integrity, deadline compliance, and operational accuracy across the patent lifecycle. The role anchors the administrative backbone of patent management—docketing, renewals, filings, and document control—while partnering closely with internal stakeholders and external counsel to protect and maximize the company’s intellectual property assets.
Key Responsibilities:
Patent Portfolio Operations
- Maintain accurate, up to date patent records across all jurisdictions, ensuring alignment with internal standards and external regulatory requirements.
- Track, manage, and escalate statutory deadlines for renewals, annuities, filings, office actions, ownership updates, and other critical patent events.
- Coordinate patent prosecution and maintenance activities with external counsel, ensuring timely submissions and error free documentation.
Docketing & Data Integrity
- Manage entries in the patent docketing system (e.g., Anaqua), ensuring completeness, accuracy, and traceability of all patent related actions.
- Conduct periodic audits of docketed data, identifying gaps, inconsistencies, or risks and driving remediation.
- Generate routine and ad hoc portfolio status reports for legal, R&D, regulatory, and business stakeholders.
Documentation & Compliance
- Maintain structured, compliant document repositories for patent filings, PoAs, assignments, and related legal documentation.
- Support compliance reviews and internal controls for IP operations, including billing checks and vendor coordination.
- Liaise with global teams to ensure consistent adoption of IP operations standards and escalation protocols.
Stakeholder & Vendor Coordination
- Serve as a point of contact for internal teams (legal, R&D, operations) regarding patent related data, processes, and reporting.
- Partner with external counsel across jurisdictions to ensure operational accuracy, clear communication, and alignment on deadlines.
- Support invoice processing and reconciliation for patent related expenses.
Why you?
Basic Qualification:
- Graduate degree in any discipline is mandatory.
- IP-relevant certifications (e.g., in intellectual property law, paralegal studies) are advantageous.
- Up to 6 years of experience in patent operations or IP lifecycle management.
- Experience with IP docketing systems (e.g., Anaqua) and working with external counsels would be an added advantage.
Preferred Qualification:
Technical Skills
- Proficiency in managing IP docketing systems (e.g., Anaqua), document management systems, and basic reporting tools (such as Excel).
- Good understanding of IP data integrity, renewals management, and invoice/billing processes.
- Ability to generate and interpret reports on IP portfolio status and deadlines.
Soft Skills
- Excellent stakeholder management and communication skills, both written and oral.
- High attention to detail, organisational skills, and the ability to prioritize and manage multiple tasks to strict deadlines.
- Collaborative approach, with proven ability to work effectively across legal, operations, and finance teams.
- Proactive problem-solving and adaptability in a dynamic, deadline-driven environment.
