Senior
Key Responsibilities
- Visit Planning & Logistics
- Manage end-to-end logistics: travel, accommodation, meeting rooms, transport, hospitality.
- Prepare detailed itineraries, budgets, agendas, and briefing notes.
- Ensure readiness of venues, IT/AV systems, security access, and materials.
- Stakeholder Coordination
- Act as the single point of contact for internal teams and clients.
- Liaise with engagement teams, partners, operations, admin, and vendors.
- Negotiate with vendors (hotels, transport, caterers) with Procurement support.
- On-Site Support
- Welcome and guide clients during visits.
- Ensure smooth transitions between sessions.
- Manage hospitality arrangements (refreshments, lunches, cultural activities).
- Communication & Documentation
- Prepare pre-visit briefs, welcome kits, and post-visit summaries.
- Maintain a central tracker for visits, budgets, feedback, and outcomes.
- Support creation of decks and presentations.
- Quality Assurance
- Ensure consistent experience across locations.
- Adhere to branding and service standards.
- Collect feedback to improve processes.
Qualifications
- Education: Bachelor’s in Business Administration, Hospitality Management, Communications, or related field.
- Experience: 2–4 years in coordination, client servicing, hospitality, events, or executive support.
Skills & Competencies
- Core: Strong organizational skills, excellent communication, professional presence.
- Technical: MS Office proficiency, event management knowledge.
- Behavioral: Attention to detail, ability to work under pressure, collaborative, proactive, comfortable with senior leaders.
