The Customer Quotation Representative is responsible for preparing, reviewing and delivering customer quotations accurately and efficiently while ensuring compliance with company pricing policies, standards and procedures.

This is a highly process-oriented role that requires strong attention to detail, excellent customer service skills and the ability to collaborate effectively with internal stakeholders to support business growth and customer satisfaction.

Key Responsibilities

Quotation Preparation & Management

  • Create and prepare quotations based on customer requests and sales team requirements using approved systems and templates.

  • Gather, validate and maintain customer information, pricing details, product specifications and commercial terms.

  • Ensure quotations are complete, accurate and aligned with company standards and pricing policies.

  • Apply approved pricing structures, discounts and commercial terms in accordance with established guidelines.

  • Maintain consistent and professional customer-facing documentation.

Quality Assurance & Compliance

  • Review quotations to ensure accuracy, completeness and compliance with company policies.

  • Verify pricing structures, terms and conditions before submission.

  • Identify discrepancies, missing information or exceptions and escalate when required.

  • Ensure compliance with global quotation standards and regional requirements.

Customer Communication & Service

  • Deliver quotations to customers within established service level agreements (SLAs).

  • Provide professional and timely communication through approved channels.

  • Respond to basic quotation-related inquiries and coordinate complex requests with Sales or leadership teams.

  • Ensure customers receive all necessary documentation and information to support their decision-making process.

Quotation Revisions & Follow-Up

  • Process quotation updates and revision requests.

  • Amend pricing, commercial terms or shipment details as required.

  • Resubmit updated quotations within agreed timelines.

  • Follow up on outstanding quotations and support efficient resolution of customer requests.

  • Maintain accurate version control and documentation history.

Data & Systems Management

  • Enter and maintain customer and quotation data accurately within CRM and quotation management systems.

  • Ensure information is organized, complete and up to date.

  • Monitor data quality and escalate system or process issues when necessary.

  • Adhere to company data management standards and procedures.

Collaboration & Stakeholder Support

  • Partner with Sales and Customer Service teams to understand customer needs and quotation requirements.

  • Provide updates on quotation status, turnaround times and outstanding requests.

  • Support team objectives, service targets and continuous operational improvement initiatives.

  • Escalate customer concerns or non-standard requests appropriately.

Continuous Improvement

  • Participate in training and development programs related to quotation processes, systems and pricing policies.

  • Contribute ideas to improve efficiency, quality and customer experience.

  • Stay informed on process updates, system enhancements and best practices.

What We're Looking For

Education & Experience

  • University studies in Business Administration, Sales, Marketing, Accounting, Economics or a related field.

  • Previous experience in customer service, sales support, quotations, pricing, logistics or administrative operations is preferred.

  • Typically suitable for candidates with 0–2 years of professional experience, although relevant industry experience will be considered.

Technical Skills

  • Knowledge of Microsoft Office applications, particularly Excel and Word.

  • Strong data entry and administrative skills.

  • Experience with CRM, quotation management or customer service systems is an advantage.
