Job Summary
The Administrative Assistant/Office Assistant provides essential clerical and operational support to ensure efficient day-to-day office operations. This role supports internal teams, coordinates administrative processes, maintains records, and serves as a key point of contact for internal and external stakeholders.
Primary Responsibilities:
Complete assignments and projects in accordance with supervisor direction and established deadlines
Provide daily administrative support to the Service Team and other departments as needed
Perform general office duties to maintain efficient business operations
Maintain organized documentation and filing systems for accurate recordkeeping and easy retrieval
Retrieve, save, and properly name various file types from multiple electronic sources
Prepare and maintain forms, correspondence, memos, reports, and other business documents
Sort, file, and maintain records in both electronic and physical systems
Monitor and maintain inventory of office supplies for daily use and industry-related events
Coordinate office needs and serve as a liaison with Accounts Payable for purchasing and expense-related processes
Coordinate business needs with vendors for internal and external meetings and events
Operate and maintain office equipment, including computers, copiers, fax machines, and database systems
Manage incoming and outgoing mail, including distributing correspondence, sending billing, and arranging package shipments and pickups
Answer, screen, and direct phone calls; take messages and perform outbound calls as needed
Respond to internal and external requests and inquiries in a timely and professional manner
Maintain office calendars, schedule meetings, and coordinate conference rooms or virtual meetings
Assist with onboarding tasks for new employees (workspace setup, materials, coordination)
Support data entry, reporting, and updates in internal systems or databases
Track and reconcile office-related expenses and submit documentation as needed
Assist in organizing company events, meetings, and team activities
Ensure office areas remain organized, stocked, and presentable
Maintain confidentiality of sensitive information and company records
Identify opportunities to improve administrative processes and efficiency
