Building Administrative Assistant- Elementary

School Year Position

FY27

Qualifications:

  • High School diploma
  • Experience in office setting preferred with willingness to learn advanced office based technologies
  • Successful completion of required background checks including, C.O.R.I., S.O.R.I, and SAFIS fingerprinting

Reports to: School Principal 

Job Goal: To support the school office personnel and staff and to aid parents and children as needed.

Work Year: School Year

Work Day: 7 hours per day in accordance with the BEA Administrative Assistant Contract. 

Salary/Benefits: In accordance with the BEA Administrative Assistant Contract

Performance Responsibilities

1. Perform general clerical/ administrative assistant tasks independently and at the request of administrators, including preparation of correspondence, reports, and requisitions; scheduling meetings; answering phones; processing mail; greeting visitors; and data entry. 

2. Aid visitors and parents that need assistance

3. Prepare student lists by school/class and keep updated

4. Track and distribute school enrollment on a monthly basis

5. Maintain students attendance database, keeping data current and within DOE guidelines

6. Track student dismissal changes for on-site after school activities (including coordinating with the Recreation Dept.) and daily requests from parents.

7. Maintain copiers, call for service repairs when needed

8. Ensure front doors to buildings are locked during school hours and monitor front entrance. Screen and admit visitors as appropriate.

9. Assist Principal's Administrative Assistant as needed to maintain office efficiency

10. Assist with school registrar responsibilities

11. Monitor supplies for building and create orders in financial system

12. Manage school weekly newsletter

13. Collect and verify CORI forms

14. Assist with process for managing absent teachers, including coverage changes

15. Exercise discretion and maintain strict confidentiality when handling sensitive information

16. Schedule meetings as requested 

17. Assist with translations as requested by administration and staff

18. Perform other job related duties as assigned

The physical and environmental demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Normal office environment, not subject to extremes in temperature, noise, odors, etc.
  • Regular interruptions to assist staff members
  • Extended periods of time at terminal, on telephone or operating other office machines, required eye-hand coordination and finger dexterity
  • Some travel by personal automobile
