Perinatal Outreach Center
As the designated Level IV northeastern New York (NENY) Regional Perinatal Center (RPC), Albany Medical Center provides transport and consultation services to all birthing hospitals in a 25-county area of northeastern New York and western New England. The mission of the Perinatal Outreach Center is to work collaboratively with hospitals and community programs to advance the improvement of quality perinatal healthcare within the NENY region for patients, families and communities. The NICU Registrar fulfills an essential function at Albany Medical Center. This position collects, validates, and submits neonatal clinical and demographic data to support quality improvement, regulatory reporting, and research. The role ensures timely, accurate submissions to the New York State Department of Health (NYSDOH) and the Vermont Oxford Network (VON) and provides administrative support to Perinatal Outreach leadership.
Essential Duties and Responsibilities:
- Data collection and entry — extract clinical and demographic information from medical records and enter into designated databases with high accuracy.
- Registry and regulatory reporting — prepare, validate, and submit datasets to NYS DOH and VON, collaborating with Perinatal Outreach Data Coordinator and Neonatology Quality leadership.
- Quality improvement support — generate reports and analyses for QI projects, audits, and ad hoc studies; collaborate with clinicians to translate findings into action.
- Data validation and reconciliation — run routine checks, resolve discrepancies, and document corrections.
- Confidentiality and compliance — handle protected health information in accordance with HIPAA and institutional policies.
- Administrative support — assist Perinatal Outreach leadership with scheduling, meeting notes, correspondence, and document management as assigned.
Qualifications
- Education — Associate’s degree in health information management, public health, or related field required.
- Experience — 1–3 years in clinical data entry, registry coordination, or health information roles required; neonatal or perinatal data/terminology experience preferred.
- Certifications — RHIT, CHTP, or registry training are advantageous but not required.
Skills and competencies
- Technical skills — proficient with EHR systems, Excel, and database platforms; quick to learn registry interfaces.
- Attention to detail — demonstrated accuracy in data entry and validation.
- Communication — clear written and verbal skills for collaborating with clinicians and quality teams.
- Analytical ability — comfortable producing clean reports and identifying trends to support clinical improvement.
- Time management — able to meet periodic external reporting deadlines and manage competing priorities.
Flexible part-time hours, 30 hours per week, eligible for benefits.
