The Administrative Director is responsible for the overall operational and administrative management of a multi-specialty ambulatory care practice. This position provides leadership and oversight of all daily practice operations, including patient access, registration, reception, scheduling, medical records, revenue cycle functions, clinical support services, and ancillary operations. The Administrative Director is accountable for ensuring the delivery of high-quality, patient-centered care while maintaining operational efficiency, regulatory compliance, and exceptional customer service.
Working collaboratively with physicians, clinical leadership, and health system administration, the Administrative Director oversees personnel, and ensures compliance with all applicable federal, state, accreditation, and organizational standards.
Essential Duties and Responsibilities
- Provide day-to-day operational leadership for a multi-specialty outpatient practice, ensuring efficient workflows and exceptional patient experiences.
- Establish, implement, and maintain policies, procedures, and operational standards to ensure effective and efficient practice operations.
- Ensure compliance with all regulatory and accreditation requirements, including Joint Commission, Article 28, CMS, HIPAA, OSHA, and organizational policies and standards.
- Oversee revenue cycle processes, including patient registration, charge capture, billing, collections, and reimbursement optimization.
- Recruit, hire, onboard, train, mentor, evaluate, and discipline staff in accordance with organizational policies.
- Monitor patient satisfaction and employee engagement scores and implement action plans and best practices accordingly
- Promote a culture of continuous improvement, teamwork, accountability, and patient-centered care.
Required Qualifications
- Bachelor's degree in Healthcare Administration, Business Administration, Public Health, or a related field required.
- Master's degree in Healthcare Administration, Business Administration, Public Health, or a related field preferred.
- Minimum of five (5) years of progressive leadership experience in physician practice management, ambulatory operations, or healthcare administration.
- Strong knowledge of ambulatory healthcare operations, revenue cycle management, regulatory requirements, and quality improvement methodologies.
- Excellent leadership, communication, organizational, problem-solving, and interpersonal skills.
- Proficiency with electronic health records (EHRs), practice management systems, and healthcare performance analytics.
