Project Coordinator I - HVAC

Position Overview

As a Project Coordinator I - HVAC, you'll provide essential support to Project Managers in the day-to-day coordination of commercial HVAC and mechanical projects. You will assist with documentation, submittals, scheduling, and communication between the office and field teams to help ensure projects are organized, compliant, and delivered successfully. This entry-level role is ideal for a motivated, detail-oriented individual looking to build a career in construction project coordination within a collaborative, people-first environment.

Duties and Responsibilities

  • Assist with project documentation management, including plans, specifications, and distribution.
  • Support the creation and maintenance of submittal registers based on project specifications.
  • Help request, coordinate, log, and track submittals and resubmittals from suppliers and subcontractors.
  • Maintain accurate logs for equipment, materials, and job site badging/access as assigned.
  • Assist with compiling as-builts, start-up reports, O&M manuals, warranties, and owner training documentation.
  • Update project records to ensure clear communication between office and field teams.
  • Support monthly forecast updates and basic manpower tracking.
  • Help ensure project billings align with contractual requirements and assist with budget entry into accounting systems.
  • Maintain organized project files and perform general administrative tasks to support successful project execution.
  • Provide professional communication with internal teams, subcontractors, and clients.

Supervisory Responsibilities None (entry-level support role focused on learning and assisting senior project staff).

Requirements/Qualifications

  • Experience: 0–2 years in construction, project coordination, administrative support, or a related field. Recent graduates or individuals with strong interest in construction project management are encouraged to apply.
  • Education: High school diploma or GED required; Associate or Bachelor’s degree in Construction Management, Business, or a related field preferred.
  • Physical Demands: Primarily office-based with occasional job-site visits; ability to walk active construction sites and lift light materials as needed.
  • Work Environment/Safety: Professional office with hybrid options and occasional active construction sites; must adhere to OSHA regulations and wear required PPE when on-site—safety is our top priority and non-negotiable. This is a safety-sensitive position.

  • Strong organizational and multitasking abilities with excellent follow-up skills.
  • Good written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Attention to detail and eagerness to learn construction processes and documentation.
  • Self-motivated, punctual, and professional in appearance and demeanor.
  • Ability to work collaboratively as part of a team while building independence.

Pay Range: $55,000 - $75,000 per year
